Steps: Set Up Workday Everywhere Using Sana Self-Service Agent for Microsoft Teams and Microsoft 365 Copilot

Set up Self-Service Agent in your Workday tenant. See Steps: Set up Self-Service Agent.
You can enable workers and managers to perform self-service Workday tasks directly from these workspaces:
  • Microsoft 365 Copilot
  • Microsoft Teams
You can find information, complete common tasks, and get support without accessing Workday in a web browser. Examples: You can enter these phrases:
  • Change my marital status.
  • How much vacation time do I have?
  • Help me optimize my time off for the year.
  • What are my team’s performance goals?
You can also enable workers and managers to receive notifications in Workday for Microsoft Teams. Example: You can configure Workday Everywhere to notify managers when their workers request time off, and to notify workers when their time off requests are approved or denied.
Workday provides a single Workday app for Microsoft. After you install and provision the app, users can access it in both Copilot and Teams. Setup requires coordination between these administrator roles for each workspace:
  • Microsoft 365 administrator: Provisions app permissions.
  • Workday administrator: Configures tenant authentication.
When you complete setup, you only sign in once because the same authentication token applies to both Copilot and Teams.
If you are a first-time Workday Everywhere user, set up Microsoft Teams. If you already integrated Microsoft Teams with Workday Everywhere, skip steps 1-6.
  1. Complete the initial setup for your workspace.
    In your Microsoft Teams workspace, install Workday as a third-party application and add it to a permission policy assigned to your users.
    Enable these Microsoft Graph API permissions:
    1. Allow the application to manage itself for all users.
    2. Read all users' full profiles.
    3. Sign in and read the user profile.
  2. Enter your Workday tenant alias.
    Production:
    tenantname
    .
    Sandbox:
    tenantname-sb
    .
    Tenant aliases use the naming convention for the environment of the tenant.
  3. Sign in to your Workday account.
    Initial authentication requires Workday Admin credentials.
    In Microsoft Teams, you are automatically logged in and the Microsoft Teams tenant connects to the Workday tenant.
  4. Configure the settings for your Workday app.
    On the
    Admin
    tab for the Workday app in Microsoft Teams, click
    Configure
    . You can configure extra settings for your organization’s needs. Examples:
    1. Birthdays, anniversaries, and other important dates.
    2. Anytime feedback.
    By default, Workday automatically enables all features for all users. See SSA Feature Availability and Roadmap for a comprehensive list of capabilities and required security permissions.
  5. (Optional) Access the
    Set Up Notifications for Workday Everywhere
    task.
    Select your preferred notification types.
    Security:
    Workday Everywhere Administrator
    domain in the Workday Everywhere functional area.
  6. (Optional) Access the
    Edit Tenant Setup - Notifications
    task.
    1. In the
      Notification Delivery Settings
      section, on the
      Approvals
      notification type for the
      Business Processes
      parent notification type.
    2. Select
      Notification Routing Rule for Notification Sub Type Approvals
      from the related actions menu of the
      Notification Routing Rules for Notification Sub Type Approvals
      rule.
    3. Select
      Notification Routing Rule Edit
      from the related actions menu of the
      Notification Routing Rule for Notification Sub Type Approvals
      rule.
    4. Complete the
      Channel Frequencies
      section:
    Option
    Description
    Channel
    Teams
    Default Frequency
    Immediately
    The Workday Everywhere Admin page displays the status of the agent. We display a green status indicator when the agent is enabled and connected to the workspace.
  7. Complete the initial setup for your Microsoft 365 Copilot workspace.
    In your Microsoft 365 Copilot workspace, install Workday as a third-party application and add it to a permission policy assigned to your users.
    Enable these Microsoft Graph API permissions:
    1. Allow the application to manage itself for all users.
    2. Read all users' full profiles.
    3. Sign in and read the user profile.
  8. In the Workday for Copilot chat interface, enter a greeting message.
    Workday prompts you to connect your account.
  9. Click
    Connect to Workday
    .
  10. Enter your Workday tenant alias.
    Production:
    tenantname

    .
    Tenant aliases use the naming convention for the environment of the tenant.
  11. Sign in to your Workday account.
  12. Enter a query to verify the integration.
    Example: What is my vacation balance?
    Verify that all workers have the required Standard Microsoft 365 Copilot licenses and access to the Self-Service Agent in the Workday tenant to prevent permission errors during authentication.
