Reference: Notifications in Workday for Business Applications

Workday Everywhere notifications can be organized into these frameworks:
  • Workday Everywhere: Notifications for specific features that you configure on the
Set Up Notifications for Workday Everywhere
    task.
  • Workday Tenant: Approval notifications for business processes that you route to Slack and Microsoft Teams on the
    Edit Tenant Setup - Notifications
    task.

Workday Everywhere Framework

You can use the
Set Up Notifications for Workday Everywhere
task to enable Workday Everywhere to deliver Slack or Microsoft Teams notifications to workers.
Workday Everywhere delivers notifications to all workers, including those not connected to Workday for Slack or Microsoft Teams. These notifications provide a direct option to connect but exclude specific data or actions to protect sensitive information. Workday recommends that all workers connect to Workday for Slack or Workday for Microsoft Teams to get the most out of notifications.
Workday Everywhere supports these notification types for connected users:
Notifications
Description
Anytime feedback
You can configure Workday Everywhere to deliver notifications when someone receives anytime feedback.
Notifications include:
  • A link to view the feedback in Workday.
  • The feedback, badge, recipient’s name, and giver’s name unless the feedback was given anonymously.
We deliver anytime feedback notifications to everyone the feedback is shared with. Example: Unless the feedback is private, we notify the recipient and their manager.
Workday automatically enables anytime feedback notifications. You can disable them by accessing the
Set Up Notifications for Workday Everywhere
task and clearing the
Active
check box for
Anytime Feedback
on the
Workday Everywhere Notifications
tab.
Case management
You can configure Workday Everywhere to notify workers when someone replies to their open Help cases.
Notifications include:
  • A link to view the Help case in Workday.
  • The Help case number.
  • The reply comment and commenter's name.
You can set up case management notifications on the
Set Up Notifications for Workday Everywhere
task by accessing the
Other Notifications
tab and adding the Help functional area with
Case Reply
as the
Content Type
.
Expenses
You can configure Workday Everywhere to notify workers when their expense reports are reviewed.
Notifications include:
  • A link to view the expense report in Workday.
  • Comments from the reviewer, if applicable.
  • The expense report memo, if applicable.
  • The expense report number.
  • Whether the expense report is approved, denied, or sent back for revision.
  • When an expense report is paid.
Workday enables expense report notifications by default. You can disable them by accessing the
Set Up Notifications for Workday Everywhere
task and clearing the
Active
check box for
Expense Everywhere
on the
Workday Everywhere Notifications
tab.
Learning
Workday Everywhere supports 2 types of notifications for Learning enrollments. When you set up Learning notifications, we deliver:
  1. Enrollment notifications to managers. When a worker enrolls in a Learning course, we deliver a notification to their manager that includes:
    • A link to view the enrollment in Workday.
    • A link to view their team calendar.
    • Approve
      and
      Deny
buttons that the manager can use to respond to the enrollment.
    • The course name, dates, cost, and location.
  2. Approval notifications to workers. When their manager approves or denies the enrollment, we deliver a notification back to the worker that includes:
    • A link to view the course in Workday.
    • Whether their enrollment was approved or denied, including the reason for denial.
You can set up Learning notifications on the
Set Up Notifications for Workday Everywhere
task by configuring the
Enroll in Content
business process on the
Business Process Notifications
tab.
Time off
Workday Everywhere supports 2 types of notifications for time off requests and time off corrections. When you set up time off notifications, we deliver:
  1. Request notifications to managers. When a worker submits a time off request or correction, we deliver a notification to their manager that includes:
    • A link to view the request in Workday.
    • A link to view their team calendar.
    • Approve
      and
      Deny
buttons that the manager can use to respond to the request.
    • The request dates and type.
  2. Approval notifications to workers. When their manager approves or denies the request, we deliver a notification back to the worker that includes:
    • A link to view the request in Workday.
    • Whether their request was approved or denied, including the reason for denial.

Workday Tenant Framework

You can configure Workday Tenant framework notifications for business processes on the
Edit Tenant Setup - Notifications
task where Workday Everywhere channels are available to be added to notification routing rules for the Approvals notification type in the
Business Processes
parent notification type. See Reference: Edit Tenant Setup - Notifications and Create Notification Routing Rules.
Workday Everywhere delivers these notifications for business processes that include an
Approval
step with the corresponding system notification enabled. The
Action
step isn't supported.
Notifications include:
  • The name of the business process and the
    Approval
    step.
  • The due date of the approval.
  • A link to view the request in Workday.
Workers can set the frequency of these notifications in their personal notification preferences when you enable these frequencies on the notification routing rule:
  • Immediately
  • Mute
When a worker receives 5 notifications within 1 hour, Workday delivers a message with a link to the
Change Preferences
task. Workers can mute Slack and Microsoft Teams notifications on that task. Muting these notifications doesn't affect notifications that you configure on the
Set Up Notifications for Workday Everywhere
task, such as time off requests, expense reports, and learning enrollments.
When an event generates both a Workday Everywhere framework notification and a Workday tenant framework notification, Workday delivers only the Workday Everywhere framework notification so that you don't receive duplicates.
