Create Stock Vesting Schedules

Create Stock Vesting Schedules

Security: the
Set Up: Stock
domain in the Advanced Compensation functional area.
You can create stock vesting schedules as structured, interval-based data models that dynamically calculate the exact quantity of vested and unvested shares for employees as of the current date. You can configure specific cliffs, graded vesting periods, and rounding rules.
  1. Access the
    Maintain Stock Vesting Schedules
    task.
Select an existing schedule or create a new one by adding a new row and naming your schedule.
  2. (Optional) Select a
    Rounding Rule
to define which way to round the shares vested.
  3. In the
    Stock Vesting Schedule Detail
subgrid, add 1 or more tranches.
  4. As you configure your vesting schedule details, consider:
    Option Description
    Sequence
The order of events in which Workday processes the vesting schedule.
    Immediate Vest
When you select this check box, Workday disables and clears the
    Interval
    ,
    Period
    , and
    Number of Vesting Occurrences
fields in that tranche to lock in the immediate vest.
    Number of Vesting Occurrences
The number of times this sequence repeats itself per the configured
    Period
    and
    Interval
    .
For example, if in your tranche:
    • Number of Vesting Occurrences
      is 5.
    • Interval
      is 1.
    • Period
      is
      Annual
      .
    • Percent of Shares to Vest
      is 100%.
Then the schedule represents a vestment of 20% shares every year for 5 years.
    Interval
The numerical length of the sequence’s configured
    Period
    per vestment occurrence.
For example, if in your tranche:
    • Period
      is
      Calendar Month
      .
    • Interval
      is 2.
    • Number of Vesting Occurrences
      is 4.
    • Percent of Shares to Vest
      is 100%.
Then the schedule represents a vestment of 25% of shares every 2 months over a period of 8 months.
    Period
The time period type in which the sequence occurs.
    Percent of Shares to Vest
The percentage of shares that you want to vest during the configured
    Period
    and
    Interval
. The sum of your percent of shares to vest for the entire vesting schedule must total to 100.
The percentage of shares to vest you enter is divided by the tranche’s
    Number of Vesting Occurrences
, and are then distributed evenly throughout the period and interval.
For example, if in your tranche:
    • Number of Vesting Occurrences
      is 12.
    • Interval
      is 1.
    • Period
      is
      Calendar Quarter
      .
    • Percent of Shares to Vest
      is 75%.
Then the sequence represents a quarterly vest of 6.25% for 12 quarters, because 75/12 = 6.25.
  5. Select
    OK
    .
Your stock vesting schedule is available for attachment to a stock plan.
When an employee’s stock plan includes a stock vesting schedule with the
Stock Vesting Schedule Details
subgrid configured, Workday dynamically generates values in the
Shares Vested
and
Shares Unvested
columns in:
  • The
    Maintain Employee Stock Vesting
    task.
  • The employee’s
    Stock Grants
table on their worker profile. To access this table, navigate to their worker profile and select
    Overview
    Employee History
    Compensation History
    Stock Grants
    .
You can identify the source of the values in the
Shares Vested
and
Shares Unvested
columns based on the value of the
Shares Calculated
column. If the value is:
  • True
: the values are dynamically generated from the stock plan’s stock vesting schedule.
  • False
: the values are manually entered. If you manually adjust the dynamically-generated values and then select
    OK
    , the
    Shares Calculated
    column displays
    False
    .
In this example, your
Vest from Date
is 2024-01-01, and you’re granting 100 shares. Your vesting schedule consists of these 3 tranches with the
Rounding Rule
set to round up to nearest 1:
Sequence
Number of Vesting Occurrences
Interval
Period
Percent of Shares to Vest
1a
1
1
Annual
30
1b

Quarterly

Monthly

According to this configuration, Workday will vest shares on these days:

The schedule continues to vest 3.333% of shares on the first of every month until all 100 granted shares are vested on 2027-01-1.
Attach your vesting schedule to a stock plan. See Create Stock Plans.
If the
Shares Calculated
column in the
Maintain Employee Stock Vesting
task is
False
, and you want them to update to dynamically generated values as part of the stock vesting schedule, then:
  1. Enter 0 in the
    Shares Vested
    field.
  2. Enter 0 in the
    Shares Unvested
    field.
  3. Select
    OK
    .
  4. Access the task again. Workday should default back to the calculated values and display the
    Shares Calculated
    column as
    True
. If the column continues to display
    False
, then your vesting schedule hasn’t had the
    Stock Vesting Schedule Detail
    subgrid configured.
Run the
Stock Vesting Schedules
report to view your configured stock vesting schedules.
