Set Up Benefit Enrollment Instructions

Set Up: Benefits
in the Benefits functional area.
You can provide instructions that display on the enrollment landing and plan selection pages to help workers with their benefit enrollments. You can also provide alternate instructions to specific benefit groups, benefit event types, or both.
  1. Access the
    Maintain Enrollment Instructions
    task.
  2. Select 1 of these options:
    Option Description
    General Enrollments Sections
    These sections include the landing page, benefit plans, and other types of instructions related to enrollment elections. Examples: Health Care and Evidence of Insurability.
    Tobacco Use Sections
    These sections enable you to configure instructions for employee and dependent tobacco use questions.
  3. Complete the
    General Enrollment Sections
    .
    You can target where and for who Workday displays instructions by selecting benefit groups, enrollment event types, or benefit plan types. You can select more than 1 filter. Workday prioritizes filters in this order:
    Coverage Type
    ,
    Enrollment Event Type
    , and
    Restrict to Benefit Groups
    .
    1. Enter general instructions in the
      Enrollment Instructional Text
      field.
      Workday displays the text you enter in this field to everybody participating in general enrollment.
    2. Complete the
      Benefit Group Instructions
      grid for each section.
      You can't remove or customize the enrollment confirmation message. Workday automatically displays this message when workers complete their enrollment successfully, before your configured instructions in the
      Submit Elections Confirmation
      section.
      Option
      Description
      Restricted to Benefit Groups
      Select benefit groups that need to view specialized instructions, questions, and responses. Examples: Contract employees or workers in a specific region.
      Coverage Types
      Specify 1 or more coverage types for specific instructions. You can select coverage types in these sections:
      • Additional Benefits Elections
      • Health Care Elections
      • Insurance Elections
      • Retirement Savings Elections
      Enrollment Instructional Text
      Enter instructions for each section. Workday displays the text you enter in this field only to the groups you select on the
      Restricted to Benefit Groups
      prompt for the row.
  4. Complete the
    Tobacco Use Sections
    .
    1. Complete the header.
      Option
      Description
      Display Question for Spouse or Domestic Partner During Enrollment
      Displays only on the
      Dependent Tobacco Use
      section. When you select this check box, Workday automatically displays the tobacco use question on the
      Add Dependent
      task and requires a response. If you don’t track tobacco use, you can add a row in the
      Question Responses
      grid and enter
      Not Applicable
      in the text field. Select the
      Does Not Use Tobacco
      option and the
      Default Response
      check box for the row.
      Instructional Text
      Text you enter in this field is visible to everybody participating in tobacco use enrollment.
      When you use the
      Maintain Localization Settings
      task to hide the
      Tobacco Status (Dependent)
      localized field, Workday hides the tobacco question instructions for spouses and dependents during the enrollment process or when they view their benefits.
      Question Text
      Enter a tobacco use question for workers to answer. Example: Have you used tobacco in the last 12 months?
    2. Complete the
      Question Responses
      grid.
      Option
      Description
      Text
      Enter the response options that workers can select from. You can enter 2 or 3 responses. Example: You can add a third response option for Not Applicable.
      Values
      Assign either
      Uses Tobacco
      or
      Does Not Use Tobacco
      to the response. If you have a third response, you can assign either of these values to it. When you assign these values, Workday adds any tobacco surcharges or credits that you configure on a benefit plan rate.
      Examples: You can assign
      Does Not Use Tobacco
      to these responses:
      Yes, but I'm in a cessation program
      or
      Not applicable
      .
    3. Complete the grid to create specialized instructions for specific benefit groups.

      Restricted to Benefit Groups
      Select benefit groups that need to view specialized instructions, questions, and responses. Examples: Contract employees or workers in a specific region.

      Workday displays the text you enter in this field only to the groups you select on the
      Restricted to Benefit Groups
      prompt for the row.
      Question Text
      Workday displays the question text you enter here only to the groups you select on the
      Restricted to Benefit Groups
      prompt for the row.
  5. Click
    OK
