Concept: Supplier Accounts Hub

The Supplier Accounts Hub is a centralized workspace for Accounts Payable managers and specialists to access frequently used tasks, reports, and key metrics. You can reconfigure your hub to include announcements, Workday-delivered tasks and reports, and add custom reports and dashboards.

Work Area

The hub includes all existing components of the Supplier Invoice Work Area including:
  • The
    Work Area Overview
    section, which provides you with:
    • Totals for Work Area:
      includes the total number of invoices in the Work Queue that are being scanned, with errors, and pending submission or approval.
    • Priority for Work Queue
      : displays past due supplier invoices in the Work Queue by worktag.
    • Supplier Invoice Document by Source
      : click
      Edit Parameters
      to edit search parameters for supplier invoice documents.
    • Paid on time Invoices
      : click
      Edit Parameters
      to edit search parameters for paid on time invoices.
    • Exceptions for Work Queue
      : includes several grids that display the scanning, OCR, and invoice Custom Validation Exception messages for your supplier invoices.
  • The
    My Work Queue
    section provides you with actions to take for 1 or multiple supplier invoices.
  • The
    Upload and Scan
    section enables you to capture, route, and collect OCR supplier invoice information to submit in Workday. OCR supports file attachments with up to 15 pages.
  • The
    Email Ingestion
    section enables you to parse and extract data from emails sent into Workday. Workday applications can use the extracted data to create tickets and tasks automatically, which saves you time and eliminates manual work.
  • The
    Processor Metrics
    section, which includes these components:
    • Pending Approval
      : displays the number of days that supplier invoices you submitted have been waiting for approval.
    • Supplier Invoice Cycle Times
      : helps you track turnover days for supplier invoices. To view the tab, your users must have access to the
      Manage: Supplier Invoice Work Queue
      domain in the Supplier Accounts functional area.

Manager Metrics

Manager Metrics are specific to the Supplier Accounts Hub. This section provides you with key performance metrics for your teams and processes. Use the hub filters to customize the data that displays in your metrics. By default, Workday filters data by invoice creation date for the previous 3 months.
In the
Team Metrics
section, you can view and drill down into these data visualizations:
  • Draft Invoices by Creator
    : Measures the number of draft invoices created by a user. The user 'Blank' represents invoices created via third-party tools. You can view report details to drill down further for external system ID reference sources.
  • Draft and Canceled Invoices by Assignee
    : Measures the number of draft or canceled invoices by assignee. The user 'Blank' represents invoices not configured via the Supplier Invoice Assignment Rule task, or not manually assigned.
  • Invoices Submitted to Business Process
    : Measures the number of invoices submitted to the business process. The user 'Blank' represents invoices created via third-party tools. You can view report details to drill down further for external system ID reference sources.
In the
Process Metrics
section, you can view and drill down into these data visualizations:
  • Invoice Sources
    : The count of invoices by Workday delivered source for approved invoices. Grouping by month is based on the date that the invoice was created in Workday.
  • PO vs Non PO
    : The count of approved invoices categorized by invoices created from a purchase order versus invoices not created from a purchase order. Grouping by month is based on the date that you create the invoice in Workday.
In the
Invoice Cycle Times
section, you can view and drill down into these data visualizations:
  • Time to Entry
    : Measures the average number of days between the Invoice Date or invoice received date if available and the invoice creation date.
  • Time in Resolution
    : Measures the average number of days between the invoice creation date and the first invoice submit date.
  • Time in Approval
    : Measures the average number of days between the first invoice submit date and final approval date.
  • Time to Payment
    : Measures the average number of days between invoice creation and full payment.
In the
Work Area Manager Overview
section, you can add or change parameters to evaluate progress by company, assignee, and date range. You can also view invoices by priority and liability, or by assignee. To view the section, your users must have access to the
Manage: Supplier Invoice Work Queue
domain in the Supplier Accounts functional area.

Workday provides you with links to common tasks and reports. You can remove these links, or customize this section with additional reports and external links. Select a security group or predefined rule that defines who can view the suggested links.
