Steps: Set Up Machine Learning Prompt Recommendations for Supplier Invoices and Supplier Invoice Requests
You might need to take additional steps to enable this feature based on your organization's subscription service agreement. Your organization is either on the Main Service Agreement (MSA) or the Universal Main Service Agreement (UMSA). To determine your organization's subscription service agreement:
- Select your profile avatar on Workday Community.
- SelectProfile.
- On your profile page, select your organization's name, which is beneath your name and next to your job title.
- View yourSubscription Service Agreementvalue.
If the value is:
- UMSA, the feature is automatically available. You can skip theEnable Innovation Services Feature and AI Data Contributions for MSA Customersstep. For more information on Machine Learning data contributions, see Concept: Workday AI for Universal Main Subscription Agreement Customers.
- MSA, you must enable this feature through Innovation Services using theEnable Innovation Services Feature and AI Data Contributions for MSA Customersstep.
Note: UMSA customers don't have Innovation Services tasks and reports in their tenants as these are for MSA customers only. UMSA customers can ignore all information regarding Innovation Services.
- To train the supplier invoice automation worktag or tax attributes recommendation model, you need a minimum of 3,000 historical supplier invoices.
- Configure the Innovation Services functional area and configure security policy permissions for these domains:
- Manage: Innovation Services
- View: Innovation Services
You can enable machine learning recommendations for cost center, location, region, and tax attributes on supplier invoice lines. This increases the efficiency of the supplier invoice process and reduces the number of miscategorized invoices.
- You might need to take additional steps to enable this feature depending on your organization's subscription service agreement. For more information, see this Community article.
- In theInnovation Service Opt-Intab, select theFinancial Management Generally Available Machine Learning Features and Third Party Servicesservice check box.
- In theData Select Opt-Intab, select theSupplier Invoice Datacheck box.
- If available, selectOpt in to Additional Datacheckbox.
- In theFeature Availability Statustab, verify that the Supplier Invoice Data feature status isIn Progress. It takes up to 2 weeks to display the supplier invoice worktag recommendations in your tenant. Workday then displays a status ofAvailable.
- Access theEdit Tenant Setup - Machine Learningtask.Select the region in which Workday hosts data used for improvement and personalization of machine learning and analytics functionality.Security:Set Up: Tenant Setup - Machine Learningdomain in the System functional area.
- Access theMaintain Machine Learning Prompt Recommendationstask.
- On the initiation page, select theAccounts Payableproduct area.
- In theSupplier Invoicesgrid, select theEnable Machine Learning Recommendationscheck box for the worktag, spend category, or tax attribute types you want to receive recommendations for.
- In theSupplier Invoices Requestgrid, select theEnable Machine Learning Recommendationscheck box for the worktag or spend category you want to receive recommendations for.
Security:Set Up: Tenant Setup - Financialsdomain in the System functional area. - AccessMaintain Worktag Usage.For worktag recommendations:
- SelectSupplier Invoice.
- ClickEdit Worktag Usage.
- In thePrimary Worktags Typegrid, add the worktag types you want to receive machine learning recommendations for.You can only add a worktag type under eitherPrimary Worktag TypesorAdditional Worktag Types. If a worktag type you want to include underPrimary Worktag Typesis included underAdditional Worktag Types, delete it fromAdditional Worktag Typesfirst.
Workday displays the
Recommended
option and recommendations for Cost Center
, Location
, and Region
worktags and Tax Attributes on supplier invoice lines.
