Concept: Project Transaction Transfers

You can transfer transactions from one project to another, and split them between projects. This capability can be helpful if you:
  • Book transactions to a project, but want to move expense or supplier invoice transactions to another project, phase, or task, or time transactions to another task within the same project.
  • Have transactions that no longer apply to the contract line type they were booked to, for example fixed-fee project contract lines, and want to move them to the correct contract line type.
  • Initially book transactions to a nonbillable or internal project, and want to transfer them to a billable project once contract details are completed.
  • Want to split nonlabor transactions into multiple transactions and transfer them to different projects, phases, or tasks.
Using the
Transfer Project Transactions
 task, you can transfer and split:
  • Project time and expense billable transactions.
  • Project time and expense unbillable transactions (an issue prevents billing).
  • Fixed fee project transactions.
  • Value-based project transactions
  • Nonbillable project transactions. Example: internal transactions.
You can transfer to any type of project.
You can't transfer or split usage-based, ad hoc, invoiced, misc expense, and capital project transactions.
Using the
Manage Project Billing Transactions
 task, you can transfer transactions by either of these methods:
  • You can access the
    Transfer Project Transactions
     task from the summary view of the
    Manage Project Billing Transactions
     task.
  • You can transfer project time and expense billable transactions directly within the
    Manage Project Billing Transactions
     grid, when viewing by transaction source.

Time Block Transfers within Closed Time Entry Periods

You can transfer time blocks within closed time entry periods, which enables you to:
  • Move time blocks to a different project in a closed period, supporting updates in billing without impacting payroll.
  • Maintain work in progress for long periods, and then transfer associated time blocks to other projects.
  • Recoup billable hours.
When you transfer time blocks within closed time entry periods, the transfer doesn't trigger time calculations or retroactive payroll calculations to run. However, if there are retroactive payroll triggering events prior to the project transfer time block event, the project transfer occurs and recalculates payroll.
If you reopen a closed period and make changes to a transferred time block or other time blocks in the period, all time blocks, including the transferred time block, are picked up in the next retroactive time calculation for the period.
If a time block fails any time entry validations, the time block is excluded from the transfer, and doesn't create a time review event for approval. The time block remains in the unsubmitted state.
