Create Allocation Plans

Set Up: Allocation Plan
domain in the Financial Accounting functional area.
You can create allocation plans to define high-level configurations for allocation pools and source journal lines you want to allocate. These plans enable you to provide structure as source amounts allocate through multiple tiers of allocation pools.
  1. Access the
    Create Allocation Plan
    task.
    Complete the header section:
    Option Description
    Inactive
    Select when the allocation plan isn't ready for use or to discontinue use. Inactive allocation plans aren't available for processing or assigning to allocation pools.
    Group by Date
    Workday enables you to group transaction lines by:
    • Accounting Date
    • Budget Date
    • No Grouping
    Account Set
    Fiscal Schedule
    Currency
    Source journal lines must match these configurations. Companies assigned to allocation pools for your plan must use these same configurations.
    You can't modify these settings once you save your allocation plan.
  2. On the
    Pool Tiers
    tab, specify tiers for allocation pools you want assigned to your plan.
    Workday uses a top-down structure, with tiers higher in your list allocating to lower tiers. A lower tier can't allocate into a higher tier, preventing circular allocations. Once you assign a pool to a tier, you can't modify the order of that tier. You can add tiers, and remove tiers when the tier contains no assigned allocation pools. You can also move allocation pools to tiers that are lower in the hierarchy.
    Select the
    Not Available for Selection
    check box to inactivate a tier, making it unavailable for selection when configuring an allocation pool.
  3. On the
    Source Journal Lines
    tab, define which source journals lines to allocate.
    Complete the tab:
    Option Description
    Restricted to Source Companies
    Select to restrict the allocation plan to process source journal lines from only these companies.
    Restricted to Ledger Types
    Select to restrict the allocation plan to process source journal lines of only these ledger types.
    All companies assigned to allocation pools must support these ledger types. Leave the prompt blank when allocation pool companies must support these ledger types:
    • Actuals
    • Commitment
    • Obligation
    Example: When you select
    Actuals
    , companies assigned to pools on your plan must support at least the
    Actuals
    ledger type. The companies may also support other ledger types.
    Restricted to Ledger Account Types
    Select to restrict the allocation plan to process only source journal lines of these ledger account types.
    Restricted to Book
    Select to restrict the allocation plan to process only source journal lines with book codes assigned to a specific book.
    Restricted to Journal Sources
    Select to restrict the allocation plan to process only source journal lines from these journal sources.
    Excluded Journal Sources
    Exclude source journal lines from these journal sources when processing an allocation plan.
    When you use Grants and Award Cost Processing, Workday recommends you exclude the
    Grant Revenue
    and
    Facilities and Administration Expense
    journal sources to prevent circular referencing.
  4. On the
    Book Codes
    tab, create mappings to post allocation journals to different book codes than source journals. When you don't map the book code for a source journal, the allocation journals post to the same book code as the source transaction. You can't map more than 1 source book code to the same allocation book code.
  5. On the
    Allocation Pools
    tab, specify configurations for allocation pools assigned to your plan.
    Complete the tab:
    Option Description
    Include New Pools in Hierarchy
    Select an allocation pool hierarchy to automatically add new allocation pools to the hierarchy. Displays only those hierarchies you have access to edit.
    Users with access to the selected hierarchy automatically inherit access to the new pools without needing to be explicitly assigned to each pool.
    Restricted to Source Companies
    Select the possible companies you want assigned to allocation pools in your plan. These companies must support the ledger types for source journal lines as specified on your plan.
    Default Balancing Worktag
    Select a default anchor worktag used to generate the balancing lines for interworktag journals. Workday uses this value when the balancing worktag isn't entered on a pool. This field displays when you enable worktag balancing.
    Default Optional Balancing Worktags
    (Optional) Select default anchor worktags used to generate the optional balancing lines for interworktag journals. Workday uses these values when no optional balancing worktags are on a pool. This field displays when you enable optional balancing worktags.
  6. (Optional) On the
    Assign Roles
    tab, create and assign roles to associate with the allocation plan. Example: Configure an Allocation Plan Administrator role.
    After you create an allocation plan, select
    Assign Roles
    on the related actions menu of the plan to add or remove role assignments.
You can select the plan when you create allocation pools.
Create a plan-based role and assign it to your allocation pool accountants, giving them access to create allocation pools.
