Concept: Effective Dating Allocation Pools

You can make changes to your allocation pools by creating effective-dated versions of the pools. Workday assigns 1 of these version statuses to allocation pools:

Description
Active
The current version for the effective date of an allocation pool. A pool can have this status:
  • When initially creating a pool.
  • After processing or reprocessing your allocation plan.
  • After creating a pool version that doesn't impact existing allocation pool transactions.
Pending
After you process an allocation plan, retroactive changes to configurations for an allocation pool or changes impacting existing allocation pool transactions create
Pending
versions with effective dates. When you reprocess, impacted
Active
versions of pools become
Archived
, and
Pending
pools become
Active
.
Archived
An allocation pool replaced by a newer pool version with the same effective date.
Deleted
You can delete pending versions you no longer need. Deleted pools are still available for reporting.

Creating Active Pool Versions

You can configure
Active
versions of your allocation pools as long as the changes don't impact existing allocation pool transactions. You can configure only one
Active
version of a pool per day.
Example: You create an initial allocation pool,
Pool A
. By default, Workday applies an effective date of 01-01-1900 to new allocation pools. You want to change the configuration of the pool effective December 2023. You create a new version of
Pool A
by accessing the
Edit Pool Options
task and apply an effective date of 12-01-2023. The initial version of the pool is effective until the day before the new version:

Example: You notice an error after configuring the second version of

Creating Pending Pool Versions

When you create a new version of an allocation pool with an effective date impacting existing allocation pool transactions, Workday creates a
Pending
version of the pool. You must reprocess your allocation plan to apply the pending configuration changes and recalculate your allocations.
You can only create
Pending
versions with effective dates no more than 6 months before the latest period for which you processed your allocation plan. Example: When your latest processing run is for January 2024, you can create
Pending
versions with effective dates on or after July 1, 2023.
When you reprocess, Workday:
  • Identifies allocation plan runs impacted by your pending versions.
  • Cancels the impacted plan runs.
  • Processes your allocation again to apply the pending version changes.
  • Archives any outdated
    Active
    allocation pool versions as
    Archived
    status.
  • Promotes
    Pending
    versions of allocation pools to
    Active
    status.
Example: You create an initial allocation pool
Pool A
, and use a Fixed Percentage allocation method targeting
Pool B
for 50% and
Pool C
for 50%. By default, Workday applies an effective date of 01-01-1900. You process your allocation plan for January 2024. You realize you need to change the percentages to 40% and 60% respectively and recalculate your January allocations. You edit the allocation pool options for
Pool A
, apply an effective date of 01-01-2024, and edit the target pools percentages. Because this change will impact existing allocation pool transactions, Workday creates a
Pending
version. Before reprocessing, there will be 2 versions of
Pool A

To recalculate your allocations, you access the
Reprocess Allocation Plan
task and select your allocation plan. Your
