Steps: Process Travel Booking Records

  • Create and configure an integration system to import travel booking records.
  • Complete required setup for mapping travel booking data from inbound integration files to Workday.
  • Security:
    • Process: Credit Card
      domain in the Common Financial Management functional area.
    • Process: Travel Booking
      domain in the Financial Management functional area.
    • Self Service: Travel Booking
      domain in the Financial Management functional area.
You can download travel booking records from your travel provider, review booking records, fix records in error, and map travel merchants and travel cities.
  1. Launch or schedule an integration to load travel booking records into Workday from the external file or server of your travel provider.
  2. Access the
    Maintain Travel Booking Records
    task to correct, close, or reopen travel booking records.
Workday hides travel booking records from self-service users by default. Employees can no longer view travel booking records in their
My Expense Transactions
list or when creating expense reports. However, travel administrators can still import and view these records, and all data remains available for reporting and analytics.
Workers link travel booking records to expense report lines in expense reports.
If you want to make travel booking records visible to your employees, you must:
  • Access the
    Edit Tenant Setup - Financials
    task.
  • Under the
    Expenses Options
    section, select the
    Display Travel Booking Records to Employees on Expense Reports
    check box.
