Troubleshooting: Date Specific Automatic Payment Application Rules Process Incorrectly

Troubleshooting: Date Specific Automatic Payment Application Rules Process Incorrectly

You have a date specific automatic payment application rule to only match credit adjustments and invoices dated before the 1st of the current month, but when you run the auto-apply job the system also applies the adjustments to invoices dated after the 1st of the month.
Example: When you run an auto-apply job at the end of the month on 2006-03-31, it should exclude all invoices dated in April. But an invoice dated 2026-04-05 is incorrectly picked up in a 2026-03-31 auto-apply run because its accounting date was 2026-03-31, even though the invoice date was outside the cutoff date.
The error occurs when:
  • The
    Invoice Date
used in the condition rule is on the
    Customer Invoice Document
business object, it also includes customer invoice adjustment data. During automatic application processing, the job also evaluates against Customer Invoice Adjustments and the condition rule passes, generating an unwanted customer maintenance transaction.
  • The
    Invoice Date
used in the condition rule is on the
    Customer Invoice
business object and the auto-apply job runs, it evaluates only against customer invoice and the condition rule fails as intended excluding invoice adjustments.
Check and update the condition rule.
  1. Ensure the condition rule is not using the
    Invoice Date
on the Customer Invoice Document business object. If it does, then create a calculated report field to retrieve only the invoice date.
    1. Access the
      Create Calculated Field
      task.
    2. Enter a descriptive name for your calculated field.
    3. In the
      Business Object
      field, select
      Customer Invoice
      .
    4. In the
      Function
      field, select
      Lookup Related Value
      .
    5. On the
      Calculation
      tab, in the
      Lookup Field
      , select
      Customer Invoice Document
      .
This is a single-instance field on the
      Customer Invoice
business object that links to the
      Customer Invoice Document
      business object.
  2. Replace the current
    Invoice Date
report field in the condition rule with the calculated field you created to ensure correct evaluation context.
  3. Cancel the unwanted maintenance transaction and re-run the auto apply job.
    1. In the
      Return Value
      field, select
      Invoice Date
on the related Customer Invoice Document business object.
