Set Up Business Process Consolidation for Personnel Action Request

Set Up Business Process Consolidation for Personnel Action Request

Set up the
Personnel Action Request
business process.
Workday enables you to consolidate the
Personnel Action Request
sub-business process with these parent business process types:
  • Add Additional Job
  • Change Benefits for Life Event
  • Change Job
  • End Additional Job
  • Hire
  • Legal Name Change
  • Personal Information Change
  • Request Quality Step Increase
  • Request Compensation Change
  • Request Leave of Absence
  • Request One-Time Payment
  • Request Return from Leave of Absence
  • Request Time Off
  • Service Dates Change
  • Termination
  • Union Membership Event
The parent business process definition must have at least 1 step between initiation and the
Personnel Action Request
sub-process step.
Consolidation enables you to view personnel action request details as soon as the parent business process is submitted. When the parent business process workflow gets to the
Personnel Action Request
sub-process step, Workday sends a task to the specified security group on the
Review Personnel Action Request
step in which they can review and enter personnel action request event details.
For
Hire
and
Change Job
, ensure that:
  • Security groups that can initiate the business processes have Modify permissions on the
    Reports: Personnel Action Request
domain, enabling them to access personnel action request fields on the initiating actions.
  • Users responsible for personnel action requests have permissions on the initiating actions.
  1. Access the parent business process type that you want to consolidate with the
    Personnel Action Request
    sub-process.
    1. From the related actions menu, select
      Business Process
      Configure Consolidated Template
      .
    2. In the
      Business Process Type
      column, add
      Personnel Action Request
      .
  2. For
    Change Job
    , access the
    Maintain Change Job Templates
task and select the appropriate template.
    1. From the
      Select Subprocesses for Template
      prompt, add
      Personnel Action Request
      .
  3. Edit the
    Personnel Action Request
business process security policy and add security groups to the
    Review Personnel Action Request
    action.
  4. Edit the
    Personnel Action Request
    business process definition.
    1. Add the
      Review Personnel Action Request
      task as a step
    2. Add the security group that you want to receive the task where they can review and edit personnel action request event details.
When you initiate a consolidated parent business process, you can view personnel action request event details on the
Find Personnel Action Requests
report (secured to the
Worker Data: Personnel Action Requests
domain) before the
Personnel Action Request
sub-process step initiates. You can also print the SF-52 from the report. The parent business process definition continues to respect any condition rules on the
Personnel Action Request
sub-process steps.
Workday only displays personnel action request event details on the worker history once the
Personnel Action Request
sub-process step completes.
When you consolidate the
Personnel Action Request
sub-process with the
Hire
or
Change Job
parent business processes, Workday integrates personnel action request fields into the initiating action, so you can enter and edit personnel action request data at the same time as you initiate the primary staffing action. For all other parent business processes, the business process initiation experience remains the same.
