Example: Set Up Condition Rules to Route Business Processes by Award Status

This example illustrates how to create a condition rule to route business processes based on award status or details.
You want to create a condition rule in the
Expense Report Event
business process such that when a worker submits an expense report against a grant on an award line with a
Closed
lifecycle status, Workday routes the expense report to a manager for approval.
  1. From the related actions menu of the
    Expense Report Event
    business process, select
    Business Process
    Edit Definition
    . Click
    OK
    .
  2. If there isn't already a step to route the business process to a manager for approval, add one by clicking the
    +
    button and setting:
    • Type
      :
      Approval
    • Group
      :
      Manager
    Click
    OK
    .
  3. On the confirmation page, click the related actions menu beside the magnifying glass on the manager approval step, and select
    Business Process
    Maintain Step Conditions
    .
    Click
    +
    to add a new row, then select
    Create Condition Rule
    and click
    OK
    . On the new row, set:
    • Description
      :
      Award Line Lifecycle Status is Closed
    • Source External Field or Condition Rule
      :
      Award Line Lifecycle Status
    • Relational Operator
      :
      exact match with the selection list
    • Comparison Type
      :
      Value specified in this filter
    • Comparison Value
      :
      Closed
When a worker submits an expense report with a grant worktag on an award that has a
Closed
award line lifecycle status, Workday routes the expense report to a manager for approval.
You can set up similar condition rules on other spend transaction or spend authorization business processes. To find award-related report fields that you can use, search for
Award
or
Grant
in the
Source External Field or Condition Rule
field.
