Example: Set Up the Journal Lines by Allocation Report in AP&C

This example illustrates how to set up a custom report in Adaptive Planning and Consolidation (AP&C) to identify which allocations produce the most result lines.
When you submit the
Run Mass Finalize for Allocations
task in Adaptive Planning and Consolidation, the process takes longer than usual. The reduced performance might be a result of 1 or more allocations exceeding the Workday-recommended limit of 50,000 result lines. You create a custom report to list allocations by the number of result lines so that you can split them if necessary.
  1. Access the
    Create Calculated Field
    task.
    1. Enter these values:
      Option

    2. Click
      OK
      .
    3. Enter these values:
      Option

      .
  2. Access the
    Create Custom Report
    task.
    1. Enter these values:

    2. Click
      OK

    3. In the
      Row Grouping
      section on the
      Matrix
      tab, add a row to the grid and enter these values:
      Group by Field
      Label Override
      Sort Rows
      Options
      RPT LRV Journal Line Allocation Definition to Line
      Allocation Definition
      Alphabetical - Ascending
      Leave blank.
    4. In the
      Maximum Number of Rows
      field, enter
      12000
      .
    5. In the
      Column Grouping (Optional)
      section, add a row to the grid and enter these values:
      Group By Field
      Label Override
      Sort Columns
      Options
      Company
      Leave blank
      Alphabetical - Ascending
      Leave blank.
    6. In the
      Maximum Number of Columns
      field, enter
      200
      .
    7. In the
      Define the Field(s) to Summarize
      section, add 3 rows to the grid and enter these values:
      Summarization Type
      Summarization Field
      Count
      None.
      Sum
      Translated Debit Amount
      Sum
      Translated Credit Amount
    8. Access the
      Drill Down
      tab.
    9. In the
      Detail Data
      section, add 8 rows to the
      Columns
      grid and select these fields:
      • Journal
      • Company
      • Ledger Account
      • Accounting Date
      • Translation Currency
      • Translated Debit Amount
      • Translated Credit Amount
      • Worktags
    10. Access the
      Filter
      tab.
    11. In the
      Filter on Instances
      section, add a row to the grid and enter these values:
      And/Or
      Field
      Operator
      Comparison Type
      Comparison Value
      And
      Journal Source
      in the selection list
      Value specified in this filter
      Allocation
    12. Access the
      Prompts
      tab.
    13. In the
      Prompt Defaults
      grid, add 8 rows and enter these values:

    14. After you add the fields, select the
      Populate Undefined Prompt Defaults
      check box.
    15. Access the
      Share
      tab.
    16. Select
      Share with all authorized users
      .
    17. Click
      OK
      .
You can run your
Journal Lines by Allocation
custom report by company or company hierarchy. The report displays:
  • Allocation definitions for each company.
  • Result line counts.
  • Translated debit and credit amounts.
  • Totals for each company and allocation definition.
Update your allocation definitions to split any allocations that produce more than 50,000 result lines.
