Lock Portions of Plan Versions

Lock Portions of Plan Versions

Security:
  • Model includes: sheets, accounts, dimensions, and formulas
     permission.
  • Versions
     permission.
You can lock a plan version to the smallest time period of your calendar. Use the
Lock Leading Months
 version setting to lock past time periods of versions for all users. Then, depending on the
Access Control
 settings:
  • Users with full access can change data only in the unlocked portions.
  • Users with limited access can't change data in the locked or unlocked portions.
If you have a custom calendar for your instance, some version setting names use the lowest time period available. Example: When you use week as your lowest time period, the
Lock Leading Months
 setting is
Lock Leading Weeks
.
When sheets have a larger time period than versions, the sheets lock through the end of their previous time period.
Example: The sheet is by quarter and the version is by month. When you lock the version through April, the sheet locks through March, the end of Q1.
  1. Select
    Modeling
     from the main menu.
  2. Click
    Versions
    .
  3. In
    Version Details
    , select one of the options next to the
    Lock leading Month through
     setting:
    As you complete this step, consider:
    Completion Month
    Select this option to lock data in periods before and up to the
    Completed values through
     setting of the actuals version.
    Time prompt
    Select a specific time period to:
    • Lock all data up to and including that time period.
    • Leave all data after that time period unlocked to users with access.
    If you select this option but leave the field blank, the version unlocks to users with access.
