Concept: Calculated Accounts

Calculated accounts are accounts with formulas. When an account has a formula, the formula calculates the data for the account. Calculated accounts provide an automated alternative to data entry.

Use account formulas to:

Prevent your team from entering or changing data for accounts.

Cut maintenance for new levels and versions. The account uses the same formula across all levels and versions.

Ensure consistency between versions.

Avoid user errors.

Supported Accounts

You can add default formulas to these types of accounts:

General ledger accounts.

Custom accounts.

Cube-entered general ledger and custom accounts.

If you have already added general ledger accounts to cube sheets, you must add the formula from the account settings in the cube sheet builder.

You must add formulas to these types of accounts:

Metric accounts, which require formulas.

Cube calculated accounts, which require formulas.

Modeled calculated accounts, which require formulas.

Formula Overrides

Formula overrides enable administrators to change the default formula for specific versions. Use formula overrides when:

Some versions require different calculations for the account.

You want to protect the data calculated in other versions.

When you lock versions, the existing formulas in calculated accounts become override formulas for the locked version. It enables you to update the formulas in other versions without affecting the data in the locked version.

The

Disable version-specific formula setting

for the account removes the automated protection of locked versions. This setting has no effect on archived versions.

Data Entry Overrides

Data entry overrides enable you to enter or import data in specific versions.

Use data entry to:

Unlock the account for manual data entry in sheets.

Import historical data, such as actuals, into specific versions.

Protect locked versions.

The data entry option isn't available for:

Merged cube sheets.

Modeled accounts.

Metric accounts.

When formulas exist in the account settings, you can't add shared formulas to the same account. This limitation applies even when you add a data entry override.
