Break Back Data in Time Rollups

  • Know the rollup calculation to understand how the breakback method works.
  • To change values on a version scenario, create a scenario version in
    Model Management
    .
  • Ensure that you have access to any versions or scenario versions where you want to change data.

Time rollups sum or average the values of entries according to preset calendar structures. In sheets, time rollups are blue. Entering data in time rollups automatically populates the contributing cells, even hidden cells, according to breakback patterns.
Enter data in time rollups when the desired total is more important than the contributing factors. Example: You know that the annual budget for dining expenses is 10,000. Instead of entering values in each month, you can enter 10,000 in the year rollup. Then, you can let the breakback method calculate the details for the monthly expense.
  1. (Optional) To propose changes to the base data using a scenario version, from the version prompt, select the base version to expand it.
  2. (Optional) Select the scenario version that’s nested inside the base version.
  3. (Optional) From the toolbar, click
    Display Options
    . Then, click the check boxes next to the time rollups that you intend to use.
  4. For cube sheets, click
    Change Dimensions
    and select
    Time
    for 1 of the following:
    • Columns.
    • Rows and remove all other dimensions from the rows.
    • The last nested row.
    When you display Time on rows with multiple tiers of nested rows that use different account time rollups, we:
    • Display f(x) for outer tier rollup rows.
    • Lock outer tier rollup rows.
    • Only enable breakback on the innermost tier rollup row.
  5. Enter a value in a blue time rollup cell and press

    When you press
    Enter
    , we prompt you to select a breakback method.
    You might receive no breakback prompt because either:
    • The rollup calculation is
      Last
      for the account. For
      Last
      rollups, the rollup value distributes to the last cell only and leaves other contributing cells as-is.
    • Your instance uses auto-breakback for time rollups. Pressing
      Enter
      populates the contributing cells according to the method set up by your admin.
  6. As you select a breakback method, consider:

    Proportionally
    Distributes in proportion to existing values in visible contributing cells.
    Evenly
    Divides the rollup evenly or copies the average into all contributing cells.
    Proportionally using prior year's values
    Uses the value of the prior year for each contributing cell and distributes proportionally.
    Weighted 4-4-5
    Heaviest weight goes to every third cell.
    Weighted 4-5-4
    Heaviest weight goes to the second cell and every third cell thereafter.
The contributing cells populate with values.

in the rollup. Depending on the time rollup calculation and the breakback method, the contributing cell values change:
