Import and Export Accounts

  • To use pre-existing templates for adding accounts or formulas, verify that the tab names are under 31 characters. Otherwise, avoid changing tab names.
  • Security:

You can make bulk changes to your account structure using either the import or export options. You can use:
  • The import options to download a blank template where you can add accounts or formulas or just update them.
  • The export options to start with the existing account structure or existing formulas and update them. To make changes to your account structure or formulas, we recommend starting with an export, rather than a blank template.
When preparing an Excel spreadsheet for import, don't:
  • Leave more than 1 blank row between accounts. The import ignores all rows after the 2nd blank row.
  • Remove the columns in the template, even when you don't have to update those columns.
  • Ignore the optional columns, especially when using a blank template to make updates and changes to existing accounts. Many of the optional columns have defaults when left blank that silently import. Also, some optional columns become required based on the other columns.
When you use the workforce planning configuration manager:
  • Don't change the Name and Code pairings.
  • Changing the names of modeled or custom accounts generated by the planning configuration manager causes blank values to display in the bottom up headcount planning page within Workday.
  1. Go to
    Modeling

  2. To get to an account structure, click the link for one of these accounts:
    • General Ledger Accounts
      .
    • Custom Accounts
      .
    • Metric Accounts
      .
    • Assumptions
      .
  3. (Optional) For modeled and cube accounts, navigate to the Sheet Summary page and select the accounts link there.
  4. From the toolbar, select an option from the import or export prompt. As you complete this task, consider:

    • Add to or update existing structure.
    • Download an Excel template and fill out the blank
      Accounts
      tab.
    Import formula overrides
    Select option to:
    • Add to or update existing formulas.
    • Download an Excel template and fill out the blank
      Accounts
      tab.
    Export account structure
    Select option to:
    • Update or add to existing account structure.
    • Make your changes in the file that you export to Excel.
    Export formula overrides
    Select option to:
    • Update or add to existing formulas.
    • Make your changes in the file that you exported to Excel.
  5. (Optional) To change the balance type, enter
    credit
    or
    debit
    in the
    Balance Type
    column.
    The
    Contra Account
    column helps you identify contra accounts in your structure. Changing the value doesn't update the account balance type.
  6. Save your changes locally to your computer.
    Don't leave more than 1 blank row between accounts.
  7. Return to the accounts page.
  8. From the toolbar, click the import prompt and select either option:
    • Import account structure
    • Import Formulas overrides
    As you complete this task, consider:

    Update and append
    Keep this option selected for modeled accounts, cube accounts, and formula overrides. The option:
    • Adds new accounts and formulas.
    • Updates existing accounts and formulas.
    • Leaves accounts and formulas that you didn't include in the import as-is.
    Reload entire structure
    Select this option for general ledger, custom, metric, and assumption accounts. This option:
    • Deletes all existing accounts and their data.
    • Replaces the deleted structure with your imported structure.
  9. Click
    Choose File
    and upload the spreadsheet with your changes.
