Add or Change Account Formulas and Overrides

Security: Model includes sheets, accounts, dimensions, and formulas
permission.

Default formulas calculate data across versions and levels for the account. Use default formulas when for consistent data calculated on other data and to prevent user errors. Formulas are available for these accounts:

General ledger accounts as an option.

Custom accounts as an option.

Calculated modeled accounts as a requirement.

Calculated cube accounts as a requirement. We don't recommend that you reference system accounts in the formulas of cube accounts. See FAQ: What's the best way to reference a system account from a cube sheet?

Metric accounts as a requirement.

You can add default formulas, change default formulas, or create overrides for default formulas.

There are 2 types of overrides. Formula overrides enable you to change the calculations in specific versions. Data entry overrides enable you to enter or import data in specific versions.

When you lock a version, the existing formula becomes an override formula. This enables you to update the formulas without affecting the data in the locked version.

You can also import changes to account formulas. See Import and Export Accounts.

Read-only or Locked Setting	Reason
Formula or Default Formula	Unlock the version you selected from Version Formula Selector prompt. See Lock or Hide Versions.
Version Formula Selector and Formula Override Setting	Uncheck the Disable Version-Specific Formula Setting .
Data Entry text box in place of Formula or Default Formula text box.	The selected version has a data entry override. You can't enter any data or formula in the text box. To change, select Formula Override or None from the Formula Override Setting .

Select Modeling
from the main menu.

Depending on the account that you want to change:

From the Accounts
menu, click General Ledger Accounts
, Custom Accounts
, or Metric Accounts
.

For cube accounts, click Level Assigned Sheets
or User Assigned Sheets
. Then edit the cube sheet with the account. Click Cube Accounts
.

For modeled accounts, click Level Assigned Sheets
or User Assigned Sheets
. Then edit the modeled sheet with the account. Click Modeled Accounts
.

From the account list, click any account that isn't a rollup account or system account.

In the settings, find the Data Type
section.

As you complete the task, consider:

Add a new default formula	If the Formula or Default Formula field is blank, enter a formula. If it isn't blank, the version already has a default formula. You can change the formula or create an override for selected versions. When prompted, click: Preserve : Saves all shared formulas and data in all existing versions and creates Data Entry overrides for all existing versions. Replace : Replaces all data and shared formulas in all versions, including locked versions.
Change the default formula	From Formula Version Selector , select a version that has None for the Override Formula Setting to access the default formula for the account. Edit the formula. If the Override Formula Setting is Override Formula , you're editing the override for the version, not the default. Select a version that has None to view and edit the default. The action: Changes calculated data in versions using the default formula. Preserves data in locked and archived versions. Preserves data in versions with existing overrides.
Delete the default formula	Available for custom and general ledger accounts only. From the Override Formula Setting , select None to access the default formula. Delete the formula in the Formula or Default Formula text box. The action: Deletes all calculated data for the account in all versions, including locked versions and versions with existing overrides. Preserves stored calculations in archived versions. Preserves data in all versions with a data entry override.
Add a formula override for a specific version	If necessary to activate the override settings, uncheck Disable Version-Specific Formula Settings and save. From Formula Version Selector , select an unlocked version for the override formula. From Override Formula Setting , select Override Formula . In Formula Default or Formula , add a new formula. If you delete the override formula, the account reverts to the default formula. The action Changes the data in the selected version only. Preserves data in locked versions, other versions with overrides, and versions using the default formula.
Add a data entry override for a specific version	Not available for modeled or metric accounts, or accounts in merged cube sheets. If necessary to activate the override settings, uncheck Disable Version-Specific Formula Settings and save. From the Formula Version Selector , select an unlocked version for the data entry override. From Override Formula Setting , select Data Entry . The action: Unlocks the account in sheets for data entry. Unlocks the account for importing data. Removes the calculated data from the version. Preserves data in locked versions, other versions with overrides, and versions using the default formula.
Remove overrides from a version	From the Formula Version Selector , select a version. Change the Override Formula Setting to None . The action: Reverts to the default formula for the selected version. Changes data for the selected version. Preserves data in locked versions, archived versions, version with other overrides, versions using the default formula.
Remove all overrides from an account	Click the check box for Disable Version-Specific Formula Setting . Checking this check box: Reverts the account to the default formula for all versions, including locked versions. Prevents users from creating overrides for the account. Removes automatic protection of the account for current and future locked versions. Changes the data in any version with an override, including locked versions. Preserves the stored calculations in archived versions. Preserves calculated data in versions using the default formula.

Save the settings.

For calculated accounts with the Data Entry
override, use the manual spreadsheet import. You can't use the:

importStandardData API
