Import Associations

Import Associations

  • Have a list of the usernames, levels, custom dimension values and related attributes that you want to associate. You can export these lists to keep them handy.
  • Security:
    • Admin Access> Users
       permission.
    • Organization Structure
       permission with
      All Levels
       selected.
    • Model includes: sheets, accounts, dimensions, and formulas
       permission.
Associations connect levels, custom dimensions, or related attributes to users. You can then use association codes to create access rules for users and groups. When you use associations for access rules, you can update the associations, instead of the rules, to update user access.
Level ownership is a type of user association that connects users to levels. Unlike regular level associations, level ownership also comes with other privileges. 
Associations with a parent level, parent dimension value, or parent attribute automatically associates the users with all descendants of the parent. You don't need to create associations for the child levels, attribute values, or dimensions values. The import ignores any associations that duplicate or are already included in an existing associations.
Example: An association to the HQ level exists for user jdoe@company.com. You add a new level association for jdoe@company.com for the Sales level. Sales rolls up to HQ. Therefore, the import ignores that association because the existing association for HQ already includes Sales.
When creating associations for level-ownership, you must:
  • Leave the
    Code
    field blank.
  • Enter
    Level
     for the associated dimension.
When creating associations for levels, attributes, or custom dimension, you must specify a code.
The term 'dimension' in the template and exported spreadsheet generically refers to levels, custom dimensions, and attributes.
When you import associations, you can either work from a blank template or you can download the existing associations and update them.
For other ways to create associations see:
  1. Select
    Administration
     from the main menu.
  2. Click
    Associations
    .
  3. As you complete the task, consider:

    Provides the
    Download template
     link, so you can make changes in a blank template. Instructions are in the first tab of the template.
    Export
    Downloads existing associations, so you can make changes and additions.
  4. Open the spreadsheet that you downloaded.
    For the blank template, open the
    Associations
     sheet.
  5. As you complete the columns of the spreadsheet, consider:

    Code
    • Leave this column blank for level ownership.
    • Enter any unique code for level, attribute, and custom dimension associations. Codes can contain numbers, letters, spaces, and symbols.
    Associated Dimension
    Enter:
    • Levels
      for level associations and level ownership.
    • The name of the custom dimension for custom dimension associations.
    • The name of the attribute for attribute associations.
    Association Name
    Enter
    • Level Ownership
       for level ownership associations.
    • Any name for level, attribute, and custom dimension associations. 
    Don't use
    Level Ownership
     for any other
    Association Name
     besides the actual level ownership association, which has no code.
    Dimension Value Code
    Enter 1:
    • Level code.
    • Level attribute value code.
    • Custom dimension value code.
    • Dimension attribute value code.
    Entering the parent code always includes the children in the association.
    Username
    Enter the first user associated with the value code.
    Enter all other users, one in each row, leaving the previous columns blank. See the example table below.
  6. In the row after the last username, enter the next value code in the
    Dimension Value Code
     column.
  7. List all the users associated with that dimension value code, one in each row.
  8. To start a new rule, enter a
    Code
    after the last user listed in the previous rule.
  9. Save the spreadsheet.
  10. Return to
    Administration
     >
    Associations
    .
  11. From the toolbar, click
    Import
    .
  12. Select a radio button. As you complete the task, consider:

    Replace
    Deletes all existing associations for each code and replaces them.
    Update and Append
    Changes existing associations and adds new ones.
  13. Drag and drop your saved file into the square or click anywhere in the square and select your saved file.
  14. Click
    Done
     when you get the success message.
  15. If the import failed:
    1. Click the
      Download Report
       link beneath the error message.
    2. Open the file and open the
      Errors
       sheet. Rows with errors are yellow. The error message displays in the cell with the error in red text.
    3. Select the cell with the error to read the full message.
    4. Open the
      Import
       sheet and find the corresponding rule. It's on the same row as the error is in the
      Errors
       sheet.
    5. Correct the error and save the file.
    6. Try importing again.
LManager is the code for a level association called Level Managers. jsmith and janedoe are associated with the Sales level. For janedoe note that the first 4 columns are blank. janedoe is part of the
Sales
associations of LManagers. For the HQ level value, note that the first 3 columns are blank. HQ is still part of the LManager association. PManager is the next association rule.
