Change Level Availability

Level availability adds and removes levels from versions and sheets. When working in the particular version or sheet, unavailable levels and their data don't display. This includes locked and archived versions. Level availability is 1 way to handle old levels without losing historical data. Instead of deleting levels, you can make levels unavailable in new versions and keep them available in old versions. Level availability also enables you to add new levels without crowding older versions and sheets with irrelevant levels. When you add new levels, you can make them available only to new versions, leaving older versions and their data intact.
When you make levels unavailable in versions, you:
- Can't access the data in sheets, reports, or dashboards. This includes locked and archived versions.
- Can still select the level in dashboards. If a sheet with that level is present, we display data from the top level on the sheet instead of the unavailable level. Otherwise, selecting the unavailable level doesn't change anything on the dashboard.
- Can't refer to the version and level intersection in formulas.
- Can reverse the action to make the data available again. In archived versions, the data doesn't recalculate at this time.
When you remove levels from sheets, you:
- Can access the data through reports, formulas, and dashboards.
- Can't access the data in sheets. This includes locked and archived versions.
- Can reverse the action to make the data available again. In archived versions, the data doesn't recalculate at this time.
- SelectModelingfrom the main menu.
- ClickLevels.
- From the level hierarchy, select the level you want to change.When you select a parent level, you update the level availability for all descendant levels.
- From theVersion & Availabilities Settingssection, complete the settings.As you complete the task, consider:

- In theSheetssection, select the check boxes next to sheet names to make the level display on the rows, columns, or filters of sheets.You can only make levels available on sheets when you’ve already made their parent levels available.You can change the level availability in theSheetssection of the level settings, or from the sheet itself.
