Create Shared Formulas

Security: Model includes: sheets, accounts, dimensions, and formulas
permission.

Shared formulas are calculations applied to general ledger and custom accounts. You apply them at specified levels and accounts across the entire span of a version.

Use shared formulas when you want to provide:

Calculated values in the sheet, while still enabling your team the option to enter different data.

Different formulas for each level or version.

From the

Formulas

page, you can update formulas for:

1 account, level, and version at a time.

Many levels with the same formula for the same account and version.

Parent levels, which copies to all the child levels.

You can use the

User edits

section to prevent changes to historical data entered by users.

Select

Formulas

from the main menu.

From the drop-down prompt above the toolbar, select a version.

The formula applies only to the version that you select.

You can’t add shared formulas to locked or archived versions.

Select an account from the drop-down prompt in the toolbar.

You can’t add shared formulas to some accounts.

From the

Levels

tab, use the check boxes to select the levels.

To add or change the formula of several levels at once, select as many levels as you want.

When you select a parent level, you automatically create the same formula for all of its descendant levels.

You can’t add shared formulas to some levels.

In the

Set formula

text box, enter a formula.

Formula Assistant

link for help building formulas.

Complete the

User edits

section.

When icons display in the

Edits

column next to levels, users have entered data or different formulas for the level, account, and version.

As you complete the section consider:

Opção	Descrição
Preserve	Skips the cells that have existing data and different formulas. Example: You have versions from past years where this account didn’t have a shared formula. You don’t want to replace that data with the new calculation.
Remove	Replaces all existing data with the shared formula calculation. Example: Many users mistakenly entered invalid data in place of the shared formula.

The calculated value of the formula auto-populates across the timespan of the version at the level and account intersection.

When you select Preserve
for

User edits

, the calculated value only auto-populates blank cells.
