Reference: Settings for Plan Versions

General Section

Field
Description
Name
Labels your plan version with a unique name. For words to avoid and other guidelines, see
Short name
Overrides the automatic abbreviation of the name of the plan version on dashboards.

Access Control Section

Field
Description
Locked version
Prevents users from editing the data in sheets and locks account default formulas to preserve their data. With this option, the access controls per user automatically update to
Locked
or
Locked Except Notes
.
You can select this option to close out a version as the budget of record for a given year.
Global changes, like adding or deleting accounts or levels still affect locked versions.
Archive version

Stores leaf level data from calculations, actuals overlay, calculations based on actuals overlay, calculations that reference rollup values, and links.
View Errors
Displays when you select

Downloads summaries of the formula errors. If you have no errors, the spreadsheet is blank.
Calculate formulas values
Legacy option only available for versions that already have it enabled. See FAQ: Deprecation of Calculate Formula Values.
Saves any calculated values in the version without referencing the formula, speeding up load time.
Once you apply
Calculate formula values
to a version, any structural changes that affect formulas might require you to apply these formulas again.
Enabling this option deletes any scenarios that use the version as a base version.
Administrators, Users, Editable sheet access, Group, Access level
Unlocks, locks, or hides the version for each user type.

Options

Field
Description
Left scroll limit
The earliest time period you can see.
Example: To start in January 2022, select the year 2022.
The time period must come before the
Start of plan
.
Moving the
Left scroll limit
forward deletes all the data of that version before your new
Left scroll limit
date. Moving the left scroll limit also affects the initial balances sheets.
For the default version, you can't move the
Left scroll limit
forward.
End of plan
The last time period that you can see.
For prediction versions, predictions populate only up to 24 time periods from the
Start of plan
.
If you select an end of plan date that comes after the preselected time period,
Extension Options
display. You can select what to copy into the additional years of the plan for value lookups and all other accounts.
Start of plan
The time period when the plan data begins and the actuals overlay data stops.
For the prediction version, this field is when the predictions begin. Your actuals versions must have at least 24 time periods of data before the time period you select for
Start of plan
.
Lock leading Months through
Locks specified periods of data in the version so users can't edit them.
If you have a custom calendar for your instance, this setting uses the lowest time period available. Example: When you use week as your lowest time period, the setting is
Lock leading Weeks through
.
Default
Makes the selected version the default version for all users. Only 1 version can be the default.
You can't uncheck the
Default
option. To change the default version, highlight a different plan and check the
Default
option.
Audit Trail
Tracks user changes:
  • To data in sheets.
  • Through imports.
  • To shared formulas.
Users can create audit trail searches in
Reports
.
If you uncheck this option for a version, Workday deletes all of the previously recorded audit trail information of the existing plan version.
To improve performance, we recommend disabling audit trail when you import data into the version.
Actuals overlay includes unavailable levels
Displays actuals overlay for all levels, including levels you no longer use.
Actuals version for overlay
Available for instances with actuals sub-versions.
Overlays the plan data with the actuals version data that you select. The actuals data is visible to anyone with access to the plan, even when you hide the actuals version.
For prediction versions, provides base data that the machine learning algorithm uses to generate predictions.
Drill into Transactions
Available only with the Transaction module.
Enables the ability to drill into transactions for the selected version. This option only works for transaction drill-through and doesn’t work for NetSuite drill-through.
The default setting displays raw transaction reports. If you clone a plan version with this setting, the clone automatically populates with this setting.

Publishing Access

These options are only available for Workday-enabled instances.

Description
Headcount Plans
Makes the plan version available for publishing Headcount Plans to Workday draft plan templates.
Financial Plans
Makes the plan version available for publishing Financial Plans to Workday draft plan templates.
Workforce Action Plans
Makes the plan version available for publishing Workforce Action Plans to Workday draft plan templates.

New Version Options

These options only display if you’re creating a new plan version.
Field
Description
Start as a copy of version
Copies the data of the existing plan version to start the new plan version. You can select the version that you want to copy.
Copy all data
Copies all numbers and formulas to the new plan version from these sources in the existing plan version:
  • Standard accounts
  • Cube accounts
  • Assumptions
  • Exchange rates
If there are modeled rows in the existing plan version, Workday also copies the data on modeled sheets.
Copy shared formulas and rules
Copies all:
  • Shared formulas from the
    Formulas
    tab.
  • Rule scopes from rule administration pages.
Copy all override formulas
Copies the formula overrides that you set for calculated accounts in the existing plan version, including the
Data Entry
option.
You can clear this check box if you want to copy the default formulas for all calculated accounts.
Copy splits in GL and custom accounts
Copies all splits in general ledger and custom accounts from the source version. These splits retain all dimensions.
Copy modeled rows
Copies the modeled rows from the existing plan version, which retain all dimensions, levels, and text selector values.
If you also select the
Copy all data
check box, Workday also copies:
  • Initial-balance.
  • Driver values.
  • Timespan values (any values on the rows that correspond to months).
Copy cell, sheet, and workflow notes
Copies:
  • All cell, sheet, and workflow notes from the existing plan version.
  • Information on who last updated the notes and when.
If unchecked, the new plan version starts with no notes.
Reset workflow status to in progress
Sets all sheets and other workflow items to in progress for the new version.
If unchecked, all workflow items in the new version will retain the current status of the existing plan version that you’re copying. Example: The new plan version will be read-only if the status of the existing plan version is complete.
Copy audit trail history
Copies the audit trail history from the existing plan version. If unchecked, the new plan version starts with no audit trail history.
You can clear the check box if you only want to track changes in the new plan version.
Add as report parameter choice to all reports
Includes the new plan version in any reports with versions as a parameter. If unchecked, Workday only adds the new plan version to reports with the source version as a parameter.
Copy recalculated values of sheets
Copies the recalculated values from cube and modeled sheets where you checked the
Recalculate on demand
check box.
Copy all scenarios
Leaves scenarios in the original version and also adds the scenarios to the new version. The version could fail when copying scenarios exceeds the maximum scenarios for users. Leave blank to leave the scenarios in the original version without copying.
Move all scenarios
Moves the scenarios from the original version to the new version. Leave blank to leave the scenarios in the original version.

Extension Options

These options display when you move the End of Plan time period to a later date than the one populated. When you extend the version, you have new periods. These options indicate how you want to populate those new periods in the new version. You can make different selections for the
Assumptions and Lookups
and
All Other Accounts
.

Copy Final Year Forward (plan data only)
Copies the last year of the original into the new time periods of the new version, repeating the cycle until the end, when necessary.
Copy Final Time Period Forward (plan data only)
Copies the value of the last period of the original into the new periods of the new version, repeating until the end.
New Year Start Blank
Leaves the new periods blank.
