Create Actuals Versions

Every instance comes with an actuals version. Some businesses require journal entry versions for consolidation or sub-versions. Both types of actuals roll up to the root actuals, which means that the data aggragates in the root actuals. Because the root actuals is a rollup version, you can't edit the data in the root once you have sub-versions or journal entries.
Sub-versions and journal entries also inherit most of the settings. Example: Hiding a parent actuals version hides all the descendants. To make an actuals version visible, make each parent visible first.
New versions might take time to finish. The version queues in the background so that you don't have to wait. It displays as
In Progress
in the version list until it's complete.
  1. Select
    Modeling
    from the main menu.
  2. Click
    Versions
    .
  3. Highlight the version that you want to be the parent version.
  4. From the toolbar, click:

    Create new journal entry version
    Available with Consolidation. Enables you to make adjustments to actuals.
    Create new actuals version
    Enables you to slice your actuals data. When this is the first sub-actuals, the data in the root moves to this version and rolls up to the root.
  5. Complete the
    General
    section:

    Journal entry numbering
    Available only for journal entry versions.
    Select how you want to number journal entries:
    • None
      eliminates journal entry numbering.
    • Automatic
      generates numbers for journal entries.
    • Manual
      enables the person creating the journal entries to create the numbers.
    The
    Automatic
    and
    Manual
    settings require a
    Prefix
    and a
    Starting number
    .
  6. Use the
    Access Control
    section to hide or lock the version for specific user types..
    Regardless of what you select, Adaptive Planning hides all sub-actuals and journal entries that have hidden parent versions. To unhide the version, first make the parent visible.
  7. Complete the
    Options
    section:

    Select the check box to track user changes:
    • To data in sheets.
    • Through imports.
    • To shared formulas.
    Users create audit trail searches in
    Reports
    .
    When you uncheck this option for a version, Workday deletes all the previously recorded audit trail information of the version.
    Drill into Transactions
    (Available only with the Transaction module.)
    Select a report that we use to generate drill through for transactions.
  8. Complete the
    Translated Currencies
    section:

    To see if you're eligible for translated currencies, a Named Support Contact must contact us. See Reference: Contact Us.
    Only available for sub-versions with 5 or fewer descendant versions.
    Select or clear the check box.
    Enables you to import actuals data in 1 currency for all levels in addition to the local currency per level.
    Selected Currencies
    You must first select the
    Enable Translated Currencies
    check box.
    Select up to 1 currency. You convert the data to the currency before you load it to all levels. This provides reporting in this currency that’s consistent with your actuals in your source systems.
While the version queues:
  • The version displays in the version list with an
    In Progress
    status.
  • All users with access to the version area of the model can see the version in the list. They can't dismiss failed versions that you created.
  • You can navigate to other areas of the application.
  • You can't create other versions but other users can.
Other version statuses:
  • Complete
    : The new version is done. Click the
    Refresh
    button that displays when the version completes and you haven't left the version area.
  • Failed
    : Click the info icon to review a list of errors that you can correct before trying again. Click the info icon to review a list of errors that you can correct before trying again. Click the X to dismiss the version before you try again. The X only displays if you're the person who attempted to create the failed version.
