Send Scheduled Reports as Attachments

On the General Setup administration page, select these options for your instance:

Enable attachments with scheduled notifications

(Optional)

Require password protection on attached files

. If you select this option, then you must specify a password and share with end users receiving the attachments.

If you have configured user sync between Workday and Adaptive Planning, you must also configure Notifications to receive emails with attachments. See Steps: Set Up Workday Notifications.

Security:

Download to Excel
permission. Both schedulers and recipients need this permission.

Verify that email IDs exist for the notification recipients.

You can schedule matrix and model reports as Excel attachments in email notifications. Recipients can then download the attached report from their email notifications. Optionally, you can enforce password protection on the schedule. Users then need to enter that password to download the attachment. If you enforce password protection at the instance level, then the

Password Protect

field displays as required. In case you enforce password protection later, then all prior schedules that you created without a password, fail. You then need to update your schedules.

You can:

Schedule report distribution based on the sender’s or recipient’s data access.

Schedule and distribute one report to multiple users using recipient’s data access. Each recipient receives their own slice of the report based on their access.

Distribute reports based on specific parameters or dimensions.

Example: You create a repeating report where you organize data using levels as sheet tabs. You also ensure that the report recipients have access to the data you intend for them to see. Next, you schedule to distribute this report based on the recipient’s access. In this case, each recipient only sees data for the level or sheet tab that they have access to.

Create Schedule

Specify the schedule details such as name, cadence, and time. Select an end date to expire your schedule.

and click

Specify the attachment details and save. Complete the task:

To	Specify the recipients (users, groups, or levels) for the scheduled report notification.
Message	Optionally, specify a message for the recipients.
Password Protect	Since users can download the Excel report, you can optionally specify a password for the attachment. If you enforce password protection at the instance level, then you must specify a password. Use a separate channel such as email to share this password with the recipients.
Default Output	As a default, the output is Excel for all scheduled notifications with attachments. If you have a template attached to the report, then you can select Template as the default output.
Access Rules	Select Sender's Access to authorize the specified recipients to view the report data based on scheduler’s data access. Select Recipient's Access to burst or distribute reports based on the recipient's data access.
Confirmation	Confirm that you're authorizing the specified recipients to view the report data based on scheduler access.
Include Live Report URL	Select the option to include the link to the live report in the scheduled notification.
