Example Steps: Set Up Access for 6 Users

Create different types of access based on 6 different users using access rules and permissions.
Your 6 users include:
  • Administrator who manages the model and need the ability to change all data.
  • Executive who presents data with reports and dashboards. They need to see all data, but don't need to change the data. They also don't need to review the salary details of individual employees. The Personnel modeled sheets stores this private data.
  • Financial Analyst who must edit all of the data of their department, including the salary details. In addition, they must view company-wide data for reports and comparisons. Outside of the Finance dpeartment, they don't need to view salary details as long as they see the total salary expense in the general ledger.
  • The VP of Sales who needs to view company-wide data for reports and comparisons, and needs to edit data within their department. The VP of Sales needs to edit the salary details of their department, too, but only needs to view the rollup salaries company-wide.
  • Regional Manager who needs to edit data in their regions for certain accounts and products, excluding proposed products that the company hasn't rolled out yet.
  • Store Manager who needs to edit data for specific accounts in their department for products that their department sells.

  1. Secure accounts and the Product dimension to make them available for use in access rules. Levels are automatically available.
  2. Create a permission set, assign it to the Administrator, and create access rules for the Administrator.
  3. Create a permission set, assign it to the Executive, and create access rules for the Executive.
  4. Set up access for contributors:
    1. Example: Create a Permission Set and Assign to Contributors.
      Create a permission set that enables users to access reports, dashboards, and sheets. Then assign the same permission set to a the Financial Analysit, the VP of Sales, and the Regional Manager. You later refine the data access for each user with their access rules.
    2. Example: Set Up Access Rules for Financial Analyst.
      Create a set of access rules for the Financial Analyst.
    3. Example: Set Up Access Rules for VP of Sales.
      Create a set of access rules for the VP of Sales.
    4. Example: Set Up Access Rules for Regional Manager.
      Create a set of access rules for the Regional Manager.
  5. Create a permission set, assign it to the Store Manager, and create access rules for the Store Manager.
