Add Links or Link Overrides to Accounts

Linked accounts pull the data from 1 or more cube or modeled accounts.Linked accounts are read-only for users viewing sheets because the link pulls values from other accounts.
You can add a data entry override for specific versions. This keeps the link for existing versions, enabling you to maintain historical data, while also freeing you to enter data for other versions.
A data entry override enables you to:
  • Enter data for the account in sheets for specific versions.
  • Use Predictive Forecaster to populate the account with machine learning data for specific versions.
  • Manually import data to the account for specific versions.
Terms we use to describe linked accounts:
  • The linked account is the target account that receives the data of another account. It's also where you add the link.
  • The source accounts hold the original data. You can link a target account to a maximum of 10 sources.
When accounts already have data, adding links deletes the existing data across all versions, including locked versions and excluding archived versions. You can't recover the data.
Before you add links, consider archiving historical versions, downloading your data to save it, or testing the link in a sandbox instance. Removing links from accounts also changes the data across all versions, except archived versions. You can undo these changes by adding the link back.
You can add links to these types of accounts:
  • Custom accounts.
  • Cube-entered accounts.
  • Cube standard accounts.
  • General ledger accounts.
You can link to these accounts:
  • Any modeled account.
  • Any cube account, except cube metrics, and cube standard accounts that already have links.
You can't link to multiple source accounts when:
  • You use NetSuite Basic (OEM).
  • 1 of the source accounts has

  1. Select
    Modeling
    from the main menu.
  2. Either:
    • Select
      General Ledger Accounts
      .
    • Select
      Custom Accounts
      .
    • Access the cube account hierarchy:
      1. Select
        Level Assigned Sheets
        or
        User Assigned Sheets
        .
      2. Select
        Edit
        next to the sheet.
      3. Select
        Cube Accounts
        .
  3. Select a leaf account.
    A leaf account has no child accounts. You can only add links to leaf accounts. For cube accounts, you can only add links to standard accounts.
  4. For the
    Type
    setting, select
    Link
    .
  5. From below the
    Links To
    content box, select
    Add
    .
  6. Add the link:

    Select a Model
    Select a cube or modeled sheet. These sheets are often referred to as models.
    Select an Account
    Select the account. The menu is empty until you select a sheet from the Select a Model prompt.
    Change Sign +/-
    Select to switch the value to the inverse of the source accounts. Example: The source account has a value of 55. The target account displays -55.
    Apply Dimension Value
    (Optional) Add a single dimension value per source account that doesn't exist on the source sheet. Select a dimension and then select the dimension value from the prompts.
    When the target account is a cube account, you can only apply dimensions that already exist on the target cube sheet.
    Link Filter
    (Optional) Limit the data that the link pulls into the target account. You can use any attributes or dimensions that are in the source sheet. Example: Link to a revenue cube account and filter by a product category dimension, such as Tops. Only the revenue tagged with Tops populates the target account.
  7. (Optional) To add more links, click the plus icon.
    You can add up to 10 links.
  8. To save the link, click the green checkmark.
  9. For
    Actuals Overlay
    , consider how you want the link to work in actuals versions:

    Removes the link in actuals versions.
    Show Actuals if Linked Account has Them
    Keeps the link when the source account has actuals.
  10. (Optional) Add data entry overrides to link:

    Display the override fields for the account.
    Link Version Selector
    Select a plan version for the override.
    Override Link Setting
    Select:
    • None
      to keep the link for the version.
    • Data Entry
      to enable imports and data input on sheets.
    Selecting
    Data Entry
    removes data from the account for the version.
When you add links:
  • Target accounts are read-only after links.
  • The data populates from the source accounts in all plan versions.
  • In standard sheets, we don't display the dimensional splits of the sources.
  • To see the dimension break-down, drill down with Explore Cell.
When you add data entry overrides for specific versions, we remove the linked data for the version and enable data entry for the account.
