Import and Export Shared Formulas

  • Create accounts, levels, and versions.
  • Security:
    • To export:
      Model includes sheets, accounts, dimensions, and formulas
      permission.
    • To import:
      Structure import
      permission.
Create many shared formulas, or make bulk changes to existing ones, with the import function. You can:
  • Export your current shared formulas to review them in bulk.
  • Download the Excel template and fill it out.
  • Import shared formulas to add, delete, or update them in bulk.
  • Import your formulas to another instance, if you have multi-instances.
  • Modify formulas in bulk using Excel before you import them.
When you prepare an Excel spreadsheet for import, don't leave more than 1 blank row between rows. Workday Adaptive Planning ignores all rows after the second blank row.
When you export 1,000,000 or fewer shared formulas, Workday Adaptive Planning exports them to an Excel file. When you export more than 1,000,000 shared formulas, Workday Adaptive Planning exports them to a CSV file.
The exported file contains the name of the version you choose when you select
Export
. The
User Edit
column value indicates
preserve
for any intersections with user edits.
  1. Select
    Formulas
    from the main menu.
  2. As you proceed, consider:
    Option
    Description
    Print
    Select the arrow and choose one of these:
    • Formulas of the selected account
      : Get the formulas for all levels of the selected account and version.
    • Formulas of all accounts
      : Get the formulas for all accounts and levels in the selected version.
    Import Shared Formulas
    Select
    Download template
    .
  3. Complete the blank template, or make changes to the file you exported.
    As you make changes, consider:
    Option
    Description
    Account
    Enter account codes.
    Level
    • To import shared formulas to the (Only) level of a parent level, enter parent level names.
    • To include child levels, list each child level in a separate row with a formula.
    Formula
    Enter formulas. To remove a formula, leave it blank or delete the entire row.
    User Edits
    • Leave blank or enter
      preserve
      to save user edits, even if you didn't change the formula.
    • Enter
      remove
      to replace all existing data with the formula.
  4. Return to the
    Formulas
    screen and select the appropriate version.
  5. From the toolbar, select
    Import Shared Formulas
    .
    As you complete the task, consider:
    Option
    Description
    Update and append
    Use this option to:
    • Add formulas: Enter a level and account combination that has no formula. Enter a formula in the
      Formula
      column.
    • Delete formulas: Enter a level and account combination of an existing formula, and leave the
      Formula
      column blank. Or, from an exported file, find the level and account combination and delete the formula from the
      Formula
      column.
    • Change formulas: Enter a level and account combination of an existing formula, and enter the updated formula in the
      Formula
      column. Or, from an exported file, find the combination and edit the formula in the
      Formula
      column.
    Reload entire structure
    Deletes all current shared formulas and replaces them with the formulas in the import. Workday Adaptive Planning preserves all user edits for level and account combinations that aren't in the import file.
