Reference: Settings for General Ledger Accounts

Account Details Section

Field
Description
Code
A unique combination of letters, numbers, and underscores. You can't use spaces or other special characters. If left blank for imports, Adaptive Planning auto-generates the code.
Name
Displays on sheets, reports, and charts. The name doesn’t need to be unique. For words to avoid and other guidelines, see Reference: Naming Conventions Best Practices.
Short Name
Any combination of letters, numbers, and special characters. Overrides the display name of the account for dashboard charts when the account name is long.
Rolls up to
Read-only for built-in general ledger accounts.
Indicates the parent account.
Type
Indicates how the value relates to previous periods of time:
  • Cumulative
    : The value accumulates period to period.
  • Periodic
    : The value in any given time period equals the net activity for that period.
  • Link
    (unavailable for rollup accounts): The value in modeled or cube accounts populate the values of this account.

Available for cumulative leaf accounts.
Sets how you enter data in the sheet cells of plan versions:
  • Delta
    : On sheets, you enter the change from the previous time period. Example: The balance in February is 20 and the balance in March is 25. Enter 5 for March.
  • Balance
    : On sheets, you enter the running balance. Example: The balance in February is 20 and the balance in March is 25. Enter 25 for March.
Actuals by
Available for cumulative leaf accounts.
Sets how you enter data in the sheet cells of actuals versions:
  • Delta
    : On sheets, you enter the change from the previous time period. Example: The balance in February is 20 and the balance in March is 25. Enter 5 for March.
  • Balance
    : On sheets, you enter the running balance. Example: The balance in February is 20 and the balance in March is 25. Enter 25 for March.
Links to
Available for linked leaf accounts.
Lists modeled and cube accounts that populate the account as an aggregated value.
Add Linked Accounts or Edit Linked Accounts
Available for linked leaf accounts.
Displays when you add or edit links in the
Links to
content box. Use the prompts to select source sheets, then the accounts on the sheet.
Change Sign +/-
Available for linked leaf accounts.
Pulls the inverse value of the highlighted link, which subtracts rather than sums. Example: Accumulated depreciation is a positive value in a modeled sheet. When linked to a General Ledger account, you can flip the sign so that it displays as a negative value in your General Ledger.
Apply Dimension Value
Available for linked leaf accounts.
Applies dimension values that don't exist on the highlighted source sheet to the data.
Link Filters
Available for linked leaf accounts.
Pulls in only the data that tagged with the dimension or attribute that you select from the drop-down prompts.
Override links for specific version
Available for linked leaf accounts.
Activates the link override fields so that you can enter data in linked accounts for specific versions.
Link Version Selector
Required: Select

Provides list of plan versions. Select the version that you want to enable for data entry for the linked account. Data entry overrides remove the links and enable you to enter data for the account in sheets, through imports, and with Predictive Forecaster. Read-only if the account has no links.
Override Link Setting
Enables or disables data entry:
  • None
    : Populates the account with the linked source account data for the selected version.
  • Data Entry
    : Removes the linked source data so that you can enter data, import data, or use Predictive Forecaster to populate with data.
Time Rollup
Read-only. Explains how the time rollup aggragates data:
  • Sum of rolled up values
    (periodic accounts): Sums all the values for the period. Example: Sums January through March for the first quarter rollup.
  • Value in last time period
    (cumulative accounts): Takes the value in last period and does not sum. Example: Displays the accumulated value of ending headcount.
Level/Dimension Rollup
Available for linked accounts.
Sum of rolled up values
: Sums all the values for the level or dimension. Example: Sums the expenses for each department.
Enable actuals
Available for leaf accounts.
Unavailable for linked accounts. Displays actuals data over the plan data of plan versions.
No actuals for accounts
Available for leaf accounts that aren't linked. Displays only plan data in plan versions. Formulas for accounts without actuals overlay result in blank data when the formula references actuals data, including cells in the sheet with actuals overlay.
Enable actuals for link
Available for linked leaf accounts.
Displays actuals data over the plan data for plan versions only when the source account has actuals enabled already.
Show actuals if linked accounts has them
Available for linked leaf accounts.
Displays actuals data over the plan data for plan versions only when the source account has actuals enabled already.
Specify Default Formulas
Available for leaf accounts with actuals overlay.
Assigns shared formulas to the account for each level in actuals versions. On sheets, you can still override the shared formula with other formulas or values that you enter.

Assigns shared formulas to planning versions by level.
View Dependencies
Indicates where the model references the account:
  • Calculated Accounts
    : Lists accounts that refer to this account in the formula of the account settings.
  • Shared Formulas
    : Lists the accounts by version and level that refer to this account with shared formulas.
  • Cube Entries
    : Lists the accounts by cube sheet name that refer to this account with formulas entered on cube sheets.
  • Other Entries
    : Lists the accounts by version, level, and time period that refer to this account with formulas entered on modeled and standard sheets.
  • Rules
    : Lists the allocation and elimination rules that refer to this account
  • Journal Entries
    Available for Cosolidation only. Lists the journal entries that refer to this account by journal entry number, version, and level.
  • Reports
    : Lists the report names that refer to this account with custom calculations.
Balance Types
For built-in accounts: Read-only. Follows standard accounting practices.
For other accounts: When the balance type is opposite of the root, the account is a contra account and reduces the rollup value.
Automatically changes the balance type of all descendant accounts.

Account Attributes Section

Fields
Description
Prompts with the labels of your account attributes
Available if your model has account attributes.
Tags the account with attributes. The number of drop-down prompts match the number of account attributes available in your model.

Data Type Section

Description
Account Time Stratum
Read-only indication of the time strata intersection where data exists.
Display As
Read-only indication of how the value displays.
Currency
means the value displays in the currency of the selected level.
Formula Version Selector
Available for leaf accounts.
Unavailable for cube-entered accounts.
Prompt to display the default or override formula of the selected version. Read-only if the account has no default formula.
Override Formula Setting
Available for leaf accounts.
Unavailable for cube-entered accounts.
Adds formula overrides to the selected version.
  • Override Formula
    : Add an override formula.
  • Data Entry
    : Make the account editable. This option isn’t available for calculated accounts on merged cube sheets or modeled sheets.
  • None
    : Revert to the default formula.
Read-only for locked or archived versions with an activated

  • Reverts any existing formula overrides for active versions, including locked versions, to the default formula.

Calculates the value of the account through a formula across all levels and all versions. You can change the default formula or create an override for a specific version. You can't override the formula in sheets. For cube accounts, we don't recommend that you create formulas that reference system accounts. See FAQ: What's the best way to reference a system account from a cube sheet?
Weighted-Average Translation
Available for leaf level, cumulative accounts with

Converts currencies by the average rate per period on the delta of cumulative accounts. Generally references a periodic account in the default formula and provides a way to convert the currency of periodic data in cumulative accounts.
Reset Balance

Resets the balance to zero at the specified time period. At the start of the next period, the account starts accumulating again. Select the time period. Available options are based on the calendar setup of your model, typically Month, Quarter, Year.
Transfer Balance on Reset

Transfers the accumulated balance to another account. Select the account to receive the balance transfer.
Decimal Places
Indicates the number of decimal places for the data:
  • Any number 0-9.
  • Currency's precision
    : Follows the setting for the currency. You can use the link to review the decimal places for all your currencies.
Exchange Rate
Determines how to convert currencies for the account:
  • Avg: Monthly Average
    : Uses the average exchange rate of the month to convert currency.
  • EOM: End of Month
    : Uses the exchange rate at the end of the month to convert the currency per month.
  • Any additional exchange rates types that you have created for your model.

Sheets Section

Field
Description
Account may be suppressed when zero or blank
Hides the account on sheets when all values are zero or blank.
Account will not be suppressed even when zero or blank
Always displays the account on sheets.
Entered on sheet
Links to the cube account hierarchy that has the cube-entered account.
Start Expanded
Available for rollup accounts.

    : Expands rollup or group accounts on sheets to display child accounts.

    : Collapses rollup or group accounts on sheets.
Each person who opens a sheet can change their sheet view and save it as their default, which overrides this setting.
Data Entry Sheet Type
Unavailable for accounts with formulas.
  • Standard
    : You can add the account to any number of standard sheets.
  • Cube
    : Makes the account a cube-entered account. You can add the account to any number of standard sheets and up to 1 cube sheet.
Avoid making cube-entered accounts Intercompany accounts. Cube-entered accounts don't eliminate properly for elimination rules.

Data Privacy Section
