Share Reports

Share Reports

  • Own the report or have the
    Modify All Reports
    permission.
  • Move the report to the
    Shared
    folder.
  • Security:
    Create Shared Reports
    permission.
You can share both live reports and snapshots that you create with:
  • Your team.
  • Other teams.
  • Stakeholders.
Shared reports strip out the data that users can't access and can look very different to each user. You may see:
  • Entire columns and rows that others can't see.
  • Parameter and filter options that others can't see.
  • Data where others see blanks and zeros.
  • Rollups with different values.
  • Different results for calculations such as these based on access to certain terms:
    • Different values
    • Partial rollups
    • f(x) restricted
    • Zeros
If you have the
Modify All Reports
permission, you can edit reports that other users create and share with you. Your access rules remove dimensions and dimension values that you don't have access to. Your saved changes also remove those dimensions for others. When you run these reports, dimensions and dimension values that you can't access still persist for other users.
Example: A shared report includes the HQ, Engineering, and Marketing levels. You only have access to Engineering. When you run the report, you only see Engineering. Behind the scenes, HQ and Marketing are still on the report. Others with access to those levels can still see them.
To avoid accidental changes to shared report structures, assign the
Modify All Reports
permission to users who generally have more access rather than less access to secured dimensions in the model.
  1. Go to
    Reports
    Shared
    .
  2. Run the live report or snapshot you want to share.
  3. From the report viewer toolbar, click
    Share
    .
  4. (Optional) On the
    Who Has Access
    tab, review the users who already have access to the report.
  5. On the
    Share
    tab, select 1 or more of these recipients:
    • User Groups
      to share with all users in the group.
    • Users
      to share with individuals.
    • Levels
      to share with all users in any level.
  6. (Optional) For a snapshot only, click
    Advanced
    . Select the
    Salary detail
    option to share the snapshot report only with users who have the
    Access Salary Detail
    permission.
  • Notify recipients that the live report or snapshot is ready for review.
  • Regularly monitor the performance and usage of the shared reports. See Check Report Metrics.
