Change Calendar Structure

  • Export the TimeStructure spreadsheet.
  • Security:
    • Model Management Access
      permission.
    • Time
      permission.
    • Configure Calendar
      permission.
You can add different strata to your default calendar to change the structure from Month > Quarter > Year. You only need to change your calendar structure if you:
  • Don't use the standard calendar year.
  • Don't want the Month > Quarter > Year structure.
  • Need to add alternate calendars.
To change the structure, you import the TimeStructure spreadsheet. The time strata are in the columns. Each strata has a group of columns for Code, Label, and Short Name. The calendar is in the first row under the column headers. In this row, map the structure of your calendar labels. The remaining rows are the calendar dates. You map each date to the code and labels of each strata.
Example: January 21, 2015 maps to:
  • Month: January 2015.
  • Quarter: Quarter 1 2015
  • Year: FY2015
Workday recommends that you test new calendar structures in sandbox instances to protect your data.
Changing the structure of your calendar in an instance deactivates all APIs older than version 15, which specify time periods. Once you’ve customized your calendar, any attempt to use old API versions that request a particular month of data (or similar API call) will return an error. To change the structure, upgrade all API clients to use the new version 15 API.
  1. Open the saved TimeStructure spreadsheet.
  2. (Optional) On the TimeStructure spreadsheet, change the strata labels and mapping.
    As you complete the task, consider:

    To update your existing time structure, ensure that the date range on this spreadsheet matches the date range of the existing time structure. Your first and last entries in the calendar represent your date range.
    To extend the dates of the calendar, download a blank TimeStructure spreadsheet and import the extended dates separately.
    Code
    Required for each strata.
    You reference codes in formulas. Enter the code for the strata in the same row as the calendar name and then map the code to each date. Example: Enter
    month
    . For each date in January 2015, enter the corresponding code
    1/2015

    For time strata codes, you can use these special characters:
    • En dash.
    • Em dash.
    • Forward slash.
    • Backward slash.
    • Underscore.
    For time period codes, you can use these special characters:
    • En dash.
    • Em dash.
    • Forward slash.
    • Backward slash.
    • Underscore.
    • Hyphen.
    For either codes, you can't use characters with diacritics and accents or the word "this."
    Label
    Required.
    Indicates how to display the time strata and how to display the time on sheets and reports. Example: Enter the label
    Month
    in the first row for the calendar.

    Short Name
    Optional. Indicates how to abbreviate the labels. Short Names for calendar elements don't display in the model.
  3. (Optional) Add or remove strata.
    Include all 3 columns of the strata:
    • Code
    • Label
    • Short Name
    Order the strata groups of columns from smallest to largest.
    Example: If you want to add Half Year to a Month > Quarter > Year structure, add the 3 columns before Year and after Quarter. In the example, regular text indicates existing content. The italic text indicates new content that you add to the spreadsheet.
