Change Availabilities in Cube Sheets

For levels, create the levels. See Steps: Create Levels.

For custom dimensions:

Add the dimension as a column to the sheet.

For attributes:

Add the custom dimension associated with the attribute to the sheet. Example: To add a Product Group attribute for the Product dimension, you must first add the Product dimension to the sheet.

Add the attribute as a column to the sheet.

Security:

Model includes: sheets, accounts, dimensions, and formulas
permission.

Availability adds accounts, levels, dimension values, and attribute values to the cube sheet. To remove accounts, levels, dimensions values, and attribute values, make them unavailable in the sheet.

Changing availabilities is a structural change to the model. Structural changes affect the model across versions. As a result, these changes have the potential of deleting, at worst, or hiding at best, data in locked and archived versions.

Accounts, levels, dimensions, and attributes display in cube sheets as:

Columns: Each value is a column.

Rows: Each value is a row that rolls up to the dimension.

Filters: Each value displays in the drop-down menu.

You can change availabilities using the interface, or you can import the changes using either the template, or an export.

From the properties section, add and remove accounts, levels, dimension values, and attribute values.

For levels and custom dimension, if you want the parent, or total, to display a value in the sheet, you must add the parent, root, or rollup to the sheet.

As you complete the task, consider:

Option	Description
Check boxes	Manually add or remove levels, accounts, or values.
Export	Export current availabilities to a spreadsheet. Make bulk changes. Then, import the changes using the Import option.
Import	Download a blank spreadsheet template. Make availability changes in the template. Then, import the spreadsheet.
Clear (uncategorized)	For dimension values only, removes all the uncategorized values in the dimension hierarchy from the sheet.

The levels, accounts, and dimension values:

That you added display on the sheet.

That you removed no longer display on the sheet. This includes locked and archived versions.

If you didn't add parent levels, the sheet display blanks for the level totals in rows.

If you didn't add the root for custom dimensions, the sheet displays blanks for the dimension totals in rows.

The data changes in these ways when you remove levels and accounts:

The sheet no longer displays the associated data. This includes locked and archived versions.

You can still reference the data in formulas and reports.

When you add levels and accounts back to the sheet, the data displays on the sheet again.

For dimension values, we delete the data and you can't reference it in reports, dashboards, or formulas. The action is irreversible for dimension values and includes locked versions. The exception is for archived versions, where we continue to store the data.

The data changes in these ways when you remove dimension values:

In live versions, including locked versions, we delete the associated values in sheets, reports, and dashboards.

In live versions, including locked versions, the action is irreversible. Even when you add the dimension value back to the sheet, the data does not reappear.

In archived versions, we continue to store the value. It doesn't display on sheets, but you can refer to in in reports, dashboards, and formulas.

Manage other columns in the sheet or manage the sheet settings.
