Concept: Workday for Google Sheets

Workday for Google Sheets™ (Workday add-on) is a Google Sheets add-on available in the Google Workspace Marketplace. The add-on enables planners to pull their Adaptive Planning data directly into Google Sheets. They can then modify and refresh the data to generate Google Sheets reports.

Google Workspace administrators install the add-on for the organization or for selected groups. After installation, you open the Workday add-on from Extensions
> Workday for Google Sheets
> Workday

You need the Access Workday for Google Sheets
permission. Ask Workday and writeback each require an additional permission.

Data Flow

Adaptive Planning stores the model and the data. In the Workday add-on, you sign in to a tenant, build a report definition, and refresh. The spreadsheet then displays current Adaptive Planning data. You can keep using Google Sheets formulas, copy, and paste on that data. Refresh updates the Adaptive Planning values in the sheet.

Tenants

You add one or more tenants in the Workday add-on, then sign in to the tenant that you want to report on.

Tenant type	When you use it
Adaptive Planning	You sign in with Adaptive Planning credentials.
Adaptive Planning via Workday	Your instance uses Workday single sign-on. A Workday administrator enables Google Sheets on the Tenant Setup report and provides the client ID and endpoint URLs.

Saved tenant names display under Tenants in the Sign In prompt. You can add, change, or delete tenants from Manage Tenants.

Reports

In the Workday add-on, the Report Builder organizes Adaptive Planning elements on rows, columns, and filters. Every report requires a time element and an account element. Workday for Google Sheets applies these defaults from your instance access:

Level, currency, and version as filters.

Time as a column, spanning the periods that have data for the default version.

You can add more elements, rearrange element types across rows, columns, and filters, and add segments on rows or columns. A report can include a maximum of 10 segments.Refresh populates the Google sheet from that definition. You can duplicate a report by copying the sheet in the same workbook. The copy includes the elements, expand states, managed hierarchies, relative times, and Adaptive Planning instance.

Explore Reports

You can change how much data displays without rebuilding the definition:

Expand and Collapse show or hide children of a parent element in the sheet. The expansion stays until you collapse the parent or change the report definition.

Manage Hierarchy changes descendants everywhere that dimension exists in the report, and keeps that state.

Keep Only and Remove Only create a custom managed hierarchy from an expansion or managed hierarchy.

Explore Cell opens contributing details for a cell intersection in Adaptive Planning. You cannot explore a cell when the intersection aggregates more than one account, version, level, or time.

Reset in the Workday add-on removes expansions, managed hierarchies, formatting, and data that you added, and returns the report to its original state.

Writeback

From valid leaf-level intersections, you can submit edits from Google Sheets back to Adaptive Planning. Access rules on the instance control which levels, accounts, custom dimensions, and attributes you can write back.Writeback applies to:

Accounts: cube, custom, general ledger, and assumption.

Levels: leaf levels.

Versions: actuals, plan, and scenario.

Calendars: default calendars. Time rollups are not supported.

Cube accounts: all dimensions on the sheet must also display on the report.

Attributes: dimension attributes and their dimensions on the sheet must also display on the report.

Writeback does not apply to accounts with splits. When you submit, formulas that you added in Google Sheets are stored as raw data in Adaptive Planning. Audit Trail tracks these changes.You also need the Writeback from External Sources
permission.
