Format Matrix Reports Conditionally

Security:
  • Create Personal Reports
     permission.
  • Create Shared Reports
     permission to format shared reports.
  • Modify All Reports
     permission to format any report.
To enhance the readability of a matrix report, you can configure formatting rules based on report values. Conditional formatting enables you to quickly spot values of interest, patterns, and trends. You can only conditionally format matrix reports. When you apply conditional formatting to matrix reports, you can format either:
  • The entire report.
  • Individual report elements.
You can use conditional report formatting together with display and numeric report formatting.
You can apply conditional formatting to any row, column, or spreadsheet tab element, but not design elements. To make important values stand out in a single row or column, you can apply separate formatting rules to different values. You can assign multiple rules to a single element. You can't apply conditional formatting to:
  • Elements in the filter.
  • Parameters.
  • Segments.
  1. Select
    Reports
     from the main menu.
  2. Find and modify the report that you want to conditionally format.
  3. Either:
    • Select
      Report properties
       on the toolbar to apply conditional formatting rules to the entire report.
    • Right-click the report element that you want to conditionally format and select
      Properties...
      . If rollup values exist for the element, we only apply the conditional formatting to the rollup values.
  4. Select the
    Conditional Formatting
     tab.
  5. As you create a new conditional formatting rule or edit an existing rule, consider:
    Option Description
    When value is
    Enter numeric values only.
    When you enter percentages, use decimals with no percent symbols. Example: Enter
    1
     for 100% and enter
    0.3
     for 30%.
    Apply to element rollup only
    Apply the conditional formatting rule to the element rollup values only. We only apply the formatting to the rollups, not the intersections of rows and columns.
    Example: Your report displays the 6100 Payroll account and its 3 child accounts as rows. When you create a rule for the 6100 Payroll element to display red text, we only display red text for the 6100 Payroll account rollup row. We don't display red text for the 3 child account rows.
    Show
    • As is
      : We automatically select
      As is
       by default. When multiple rules exist, we apply
      As is
       rules last. When you configure any text formatting in the rest of the
      Format
       section, that configuration overrides this
      As is
       selection.
    • Number
      : Display the element data as the numeric value.
    • Blank
      : Display a blank value for element data that meets the condition. You can use this option when the actual data isn't important. Example: Use the
      Blank
       option and set a background color to indicate the cell value or importance.
    • Icon
      : Display icons instead of element data when they meet the conditions.
  6. Select
    Add
    .
  7. (Optional) Reorder your conditional formatting rules so that we apply them in your preferred order.
  8. Select
    Apply
     to save your changes.
