Secure Dimensions and Attributes for Access Rules

  • Complete your model's structure, including the levels, accounts, attributes and custom dimensions.
  • To secure custom dimensions, you might need to change the settings. See Make Custom Dimensions Eligible for Access Rules.

Securing dimensions enables you to use them in your access rules. You can use access rules to define specific intersections of data that users or groups can edit or view.
In addition to levels, which we secure by default, you can secure:
  • Accounts.
  • Account attributes only when you have also secured accounts.
  • Level attributes.
  • Up to 3 custom dimensions.
  • Custom dimension attributes only when the related custom dimension is also secured.
When you don't see the custom dimension that you want to secure, the custom dimension isn't eligible for access rules. Custom dimensions aren't eligible for various reasons:
  • The custom dimension has over 10,000 values.
  • You already have 3 custom dimensions secured. Contact us if you require more than 3 custom dimensions.
  • You enabled the 
    Use on Levels
    or
    Data import automatically creates dimension values
    settings for the custom dimension.
  • The dimensions might be on modeled and cube sheets with a sheet setting that allows users to edit dimension values from the sheets.
When you remove a dimension, all users have full access to that dimension and its values. When you remove an attribute, users with access to levels and custom dimensions no longer have their access filtered by the tags.
  1. Select
    Administration
    from the main menu.
  2. Click
    Access Rules
    .
  3. From the toolbar, click
    Manage
    .
    The list includes levels, accounts, and available custom dimensions. Attributes nest under the dimensions they tag. Some custom dimensions aren't available because their settings disqualify them. See Make Custom Dimensions Eligible for Access Rules.
  4. Click the check boxes next to the items.
  5. Click
    Done
    .
  6. (Optional) To remove dimensions:
    1. From the toolbar click
      Manage
      .
    2. Clear the check boxes. Attributes nest in the dimensions they tag.
    3. Click
      Done
      .
The dimensions and attributes you added display as columns on the page and also in the template or export.
