Concept: Access Rules Quick Tour
Access rules define specific intersections of data that users or user groups can edit or view. Access rules display in a table on the
Access Rules
page in the Administration
area.Access Rule Columns
These are the columns:
- TypeandName: The rule is either for a single user, where you see the username, or group, where you see the group name.
- Access: The level of access given with each rule isEdit,Full View, orLimited View.
- Level (Grant): The levels granted with the rule include all the child levels, which are not listed. Levels are always secured with access rules.
- Level (Grant All Except): The levels excluded from the rule. Levels display in either theLevel Grantcolumn or this column, never both.
- The remaining columns are specific to your instance and the dimensions and attributes you secured. Each dimension or attribute has both aGrantcolumn and aGrant All Exceptcolumn.
For columns, you can:
- Hide blank columns: To clean up your view, you can clickManagefrom the toolbar and clickSuppress columns with no values.
- Remove accounts, dimensions, or attributes from access rules: Removing accounts, dimensions, or attributes from access rules gives full access to all users. You can clickManagefrom the toolbar and clear the check boxes next to the dimensions, accounts, or attributes. Or, you can hover over the column headers. Click the 3 dots and then selectRemove.
- Sort: Click near theType,Name, andAccesscolumn headers. Click the arrow that displays to switch between ascending and descending order.
- Adjust widths: Hover over any column header. Then drag the vertical line that displays.
Access Rule Rows
- This area is also referred to as the access rule table.
- Each row is a rule.
- Most users or groups have many rules to create the appropriate access. Sort by theNamecolumn or use the search from the toolbar to see all the rules assigned to a group or user.
- When you don't see levels listed in a rule, the user or group has no access to data in any sheets, reports, or charts.
- When you see [Owned Level], the rule gives access to all owned levels for the group or user.
- When you don't see accounts or custom dimension values listed in a rule, the user has access to all the accounts or custom dimension values.
View Rule Details
When all the dimensions or attributes don't fit on the table, you see an ellipse at the end of the list:

or Group
link from the Type
column to open the rule details. The rule details shows the full list.
