Example: Expand Report Elements for Ad Hoc Analysis

This example illustrates how you can use Expand and Collapse options to explore your reporting data in context for ad hoc analysis.
As a financial analyst you want to explore your operational expenses by organizational levels. You want to expand the data by both expense and level to see how the expenses are rolling up from the child levels to the parents. Your goal is to focus on the levels that incur a relatively highest operating cost.
Your operating expenses include:
  • Payroll
  • Taxes & Benefits
  • Office Expenses
  • Travel and Entertainment
  • Marketing
  • Other Expenses
Your levels include:
  • Company A (100% owned)
  • Company B (40% owned)
  • Company C (80% owned)
  • Proposed Acquisition Company
  • Total Company (only)
  • Enable OfficeConnect for your instance.
  • You understand the relationship between parent and child elements.
  • Security:
    Access OfficeConnect
  1. Select a column in the grid.
  2. In the Elements pane, right-click FY 2022 and select
    Apply to Selection
    .
  3. Select a row in the grid.
  4. In the Elements pane, use the Ctrl key to select these parent elements.
    • Operational Expenses account
    • HQ level
  5. Right-click any highlighted parent element and select
    Apply and Expand
    .
    The Expand dialog displays.
  6. Use the Shift key to select to expand both Account and Level elements. Click
    OK
    .
    The grid updates and displays all the intersections for these elements:
    • Children accounts directly under Operational Expenses
    • Children levels directly under HQ
    You notice that the Payroll-Sales intersection displays an unusually high expense and decide to focus on this row.
  7. Select the row where the Payroll-Sales intersection displays. Right-click and from the context menu, select
    OfficeConnect
    ,
    Keep Only
    .
    The report hides all other intersections except Payroll-Sales. You further decide to expand this intersection to see how the child level expenses roll up from all Sales organizations.
  8. Select the row where the Payroll-Sales intersection displays. Right-click and from context menu, select
    OfficeConnect
    ,
    Expand All
  9. In the Expand dialog, use the Shift key to select to expand both Account and Level elements.
The report displays a breakdown of all the payroll-related expenses for each child sales organization:
  • Salary-Marketing
  • Salary-US Sales
  • Salary-Worldwide Sales
  • Benefits-Marketing
  • Benefits-US Sales
  • Benefits-Worldwide Sales
It becomes clear from the report that Worldwide Sales salary expenses need further exploration.
