Share OfficeConnect Reports

You can save OfficeConnect reports to shared locations on Microsoft Teams, SharePoint, or OneDrive to enable multiple users to access them. However, many users changing a report at the same time isn't supported. There's always a risk that some information can get lost or overwritten.
Consider these use cases where two users access the same OfficeConnect report from a shared location:
  • User A opens the report and signs into it. User B with access to the same report also signs into it. User A edits the report, refreshes it, and saves the changes. User B is unable to view the updated data from the Review tab or make any updates. In this case, only the user who signs in first (user A) is able to update the report.
  • User A opens the report, signs into it, and turns off the Excel
    Auto-Save
    option. User B also signs into the same report but doesn't turn off auto-save. User A edits the report and refreshes the data. User B also edits the report simultaneously and refreshes the data. In this case, the edits that user B makes are auto-saved and override the edits from user A. Any changes that user B manually saves also override any changes that user A makes.
To avoid situations where OfficeConnect metadata is either overwritten or lost, ensure that:
  • At a time, only one user is making and saving changes to a report
  • The Excel
    AutoSave
    option is disabled.
  • Sufficient backups exist on the local machine.
Recipients can view the report and add comments. They must sign in to OfficeConnect to change the report.
  1. Open an existing OfficeConnect report or create one.
  2. Select
    File
    Share
    .
  3. Select an option for sharing:
    • Share with People. Save the document to Cloud to share with people.
    • Email. Share the report as an email attachment.
    • Create a PDF and share link. Convert the report to PDF and then share it using a link.
