Reference: Structural versus Version-Specific Changes
Some changes you make to your model are specific to versions. Other changes apply to the model structure. Changes to the model structure generally affect data across versions, including locked versions.
Version-Specific Changes
- Value and spread lookup tables because you must select a version to create them or edit them.
- Assumptions because you enter the data on sheets and you must select a version.
- Shared formulas because they apply to the levels and versions you select.
- Data imports because you always select a version.
- Data changes on sheets because you always select a version from the sheet view.
- Allocation rules because you specify which versions to include in the Scope tab.
Structural Changes
When you make structural changes, the changes affect all versions. Often the data in all versions, even locked and archived versions, changes or seems to change. Sometimes, locked versions prevents you from making the changes. See Concept: Locked, Archived, and Hidden Versions.
Structural changes include:
- Add, move, reparent, rename, or delete:
- Accounts.
- Attributes and attribute values.
- Dimensions and dimension values.
- Levels.
- Reload the calendar or level structure.
- Change level and dimension availability in versions.
- Change sheets:
- Add, rename, or delete sheets.
- Change the accounts, dimension, dimension values, or levels on a sheet.
- Change the cube restrictions that don't specify the version.
- Change account and level settings:
- Account Type: Changing between Cumulative and Periodic changes how the values display in time periods.
- Account Type: Changing to Link replaces the data with the values of other accounts across all versions. To prevent these changes, you can archive the version.
- Source accounts of linked accounts: Changing the source accounts or adding more source accounts replaces the data with the new source data. To prevent these changes, you can archive the version.
- Balance Type: Changing between Debit and Credit changes the value in the parent of the account.
- Attribute and dimension tags: Changing tags to levels and accounts changes the rollups of the attributes and dimensions.
- Disable Version-Specific Formula Setting: Selecting the check box prevents the formula from locking when you lock the version. As a result, any changes to account formulas changes the data across all versions. To prevent this from happening, you can archive the version.
- Rollup Type: Changes the way values calculate in parent accounts and levels. This can affect calculations that refer to rollups. To prevent a change in the calculations, you can archive the version.
- Add or remove actuals overlay, which changes how the version displays data. This action can also change formula calculations that reference the cells with actuals overlay. To prevent these changes, you can archive the version.
- Update actuals data that plan formulas reference. To prevent these changes, you can lock the leading months of the actuals version or archive the version.
- Use system accounts, such as allocations, eliminations, minority interest, and CTA.
