Create a Journal Entry

Journal entries are way to adjust the values in general ledger accounts. They ensure that the adjustments are balanced while also presenting them in the familiar form of accounting-style journal entries.
When viewing a journal entry version on a sheet, you can't directly edit cells because it's disabled.
You can create journal entries using the following methods:
  • Create journal entries one at a time.
  • Batch import multiple journals all at once using the import template.
When defining a journal entry in consolidation, use these guidelines:
  • Debit and credit amounts must balance
  • A journal entry version is required
  • You can't use intercompany accounts for journal entries.
  • Journal entries are posted in the active currency for the level selected
  • If required, a recurring through period option is available
  • Modifying a journal entry is possible:
    • If the period in which the journal is posted is not locked (closed)
    • If the journal entry version is not locked
  • Reversing a journal entry is possible in the following period if the initiating period is not the last period of the version
If automatic numbering is enabled, this field displays the entry number of the next journal entry created in that version. It cannot be edited.
  1. Click the arrow next to Consolidation from the main menu.
  2. Select Journal Entries.
  3. Click New.
  4. As you complete the fields for Journal Header, consider:
    Option Description
    Journal Entry Version
    Select the version for the journal entry.
    Date
    Enter the date for the journal entry.
    Level
    Select the level, which also determines the currency of the journal entry and its lines.
    Occurrence
    Select the timespan in which the Recurs Through automatically triggers journal entries. When you also select Auto-reverse, the timespan drives when the reversing entry.
    This drop-down affects the Recurs Through and Auto-reverse functions.
    Auto-reverse
    Select this option to indicate that the journal entry will auto-reverse in the next period. We don't post reversals for locked periods.
    Journal number:
    Available for manual numbering.
    Set the journal entry number.
    We automatically append an -R to auto-reverse journal entry numbers. You can't change manual journal entry numbers once saved.
    Prefix
    For manual numbering, we displays the journal number prefix. You can't edit the prefix.
    Recurs Through
    Available for automatically-numbered journal entries only. If you want the journal entry to automatically recur every period, select an end period for its recurrence.
    Description
    Enter a description for the journal entry. This appears on the Journal Entries List page.
  5. In the Journal Lines area, click a row in the Account column to view a drop-down list of all accounts.
  6. Find the account this line affects, and click it. Use the search box to speed up this process.
  7. Click in either the Debit or Credit column to enter the amount to be credited or debited.
  8. Continue creating journal line until the journal entry is complete.
  9. To remove a line, click to delete.
