Launch Configurable Workflows
- Create at least 1 published workflow definition.
- Ensure that you share the hub with all of your participants.
- Security:
- Edit Hubspermission.
- Manage Workflowspermission.
- Access Hubspermission so that your participants can receive their My Tasks items after you share the hub.
- Task assignees require the permissions needed to access their task destinations and complete their tasks. See Reference: Available Permissions.
As a financial system administrator who creates workflows, you can launch workflows to initiate a new planning process based on a published workflow definition. This enables your workflow participants to complete their assigned tasks, submit, and approve according to the steps in that workflow definition.
We recommend that you check with other administrators before you launch a workflow to ensure that no other workflows exist for the same version, sheets scope, and levels. If multiple workflows launch for the same coordinates across hubs, the assignees for both workflows might override each other’s actions on the data. Example: A user from one workflow completes their task to edit sheet data, but afterwards, a user from another workflow tries to edit that same sheet data.
- SelectHubsfrom the main menu.
- Select the hub where you want to launch workflows.We recommend that you only launch workflows from shared hubs.
- SelectWorkflowsin the Workflows section of your hub.
- SelectLaunch New.
- Complete the workflow launch configuration:

A valid level is a level with 1 or more associated users in the association. All valid levels will be selected by default.If the levels you want to select don’t have a user associated in associations, you can assign them on theAssociationspage in Administration by selectingOpen Associations in New Tabfrom the actions menu. Ensure that those level owners have access to the data in your access rules.We automatically selectAuto-select and maintain valid descendantsby default, and you can change this setting. Use this setting to automatically include all valid subordinate levels when a superior level is selected, and keeps the workflow in sync if those associations change. A valid level is any level that has 1 or more associated users, so if someone is later added to that level, they’re automatically pulled into the workflow.You can turnAuto-select and maintain valid descendantsoff if you prefer to manage participating levels manually.
