Create Processes and Process Tasks

  • For group standard tasks, ensure that these users exist in a user group in
    Administration
    .
  • To send notifications to users with tasks assigned to them, select the
    Workflow and Process Tracker alerts
    check box in
    Administration
    General Setup
    .
  • Security:
    • Access Process Tracker
      permission.
    • Complete Tasks Assigned to Self
      permission.
    • Complete Any Task
      permission.
    • Manage Tasks
      permission.
    • Manage Processes
      permission.
Processes and process tasks enable teams to collaborate to complete their planning cycles. Teams can use processes to:
  • Create, manage, and complete tasks.
  • Monitor task progress as teams work towards configured due dates.
  • Communicate with each other using notes on tasks or notifications from process administrators.
As a process administrator, you can create:
  • Standard process tasks that you can assign to individual users.
  • Standard process tasks that you can assign to user groups.
  • Level workflow tasks to track the workflow status changes of a particular level for a version.
  • Sheet workflow tasks to track the workflow status changes of a particular assumptions sheet for a version.
These tasks can include task names, task descriptions, task due dates, attachments, and notes.
Standard tasks can link directly to the relevant level-assigned sheets, assumptions sheets, reports, dashboards, or workflows. Assigned users can take action directly in their process guide, which they can access from the process tracker or notifications.
Level and sheet workflow tasks can point to the relevant assumptions sheets and workflow levels. Users with access must manually navigate to the
Sheets
,
Assumptions
and
Workflow
pages to take action.
You can clone existing tasks and change the clones to save time.
  1. Select
    Processes
    Overview
    from the main menu.
  2. To create a process, select
    Create Process
    from the Process actions menu.
    You can find the Process actions menu next to the
    Process
    prompt, on the upper-right corner of the
    Processes Overview
    page.
  3. As you create a process, consider:
    Option Bezeichnung
    Add tasks from existing process
    (Optional) Add all the tasks from an existing process. You can also update due dates to fit the new target date. After you create the new process using this option, you can manually edit each new task to change details like version and assignees.
    Workflow task version (applies to all tasks)
    (Optional) When you add tasks from an existing process, you can change the version on your new copies of the level and sheet workflow tasks. We don't automatically update the versions on new copies of standard tasks even if those standard tasks include workflows as their content.
    Auto-send task notifications
    (Optional) Select this check box to send notifications to standard task assignees as you create and change tasks.
    Processes don't use effective start dates. Users can start progress on tasks and complete tasks immediately upon task creation whether or not you notify them. To help prevent users from starting before you finish creating the entire process, leave this check box cleared.
  4. Create tasks.
    As you create tasks, we automatically order them according to this logic:
    1. Due date. The earliest tasks display at the top of the stacks and the most recent tasks at the bottom.
    2. If the due date is the same, order by task name.
    3. If both due date and task name are the same, order by assignee name.
    4. If all of the above are the same, order by task creation date.
  5. (Optional) To notify assignees and navigate them to their process guide, select
    Send Notifications
    from the Process actions menu.
    You can find the Process actions menu next to the
    Process
    prompt, on the upper-right corner of the
    Processes Overview
    page.
    If you select
    Auto-send task notifications
    during process creation, the standard task assignees receive a notification but no link to the process guide. Assignees can navigate to their process guide from the main menu.
